Job Description

To provide a robust administrative service for busy acute surgical ward. Experience in a range of IT skills would be an advantage as would previous administrative or reception experience.

***Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***

Stonehouse Ward has an opportunity for a Ward Clerk to join their Surgical team. We specialise in Hepatobiliary (HPB) & Colorectal surgery through both elective and emergency pathways. We have a supportive ward team including Registered Nurses, HCA’s, discharge coordinator & doctors assistants.

This post is to cover Monday to Friday 08:00- 16:00 or x 3 long days a week. We are keen to employ someone who takes pride in reception work and is prepared to work within a clinical area as the reception desk is in the middle of a surgical ward.

1. Deal with enquiries, including telephone enquiries in conjunction with and under the direction of nursing staff. Receiving results by telephone from laboratories.
2. To continually manage the SALUS system as a working real time system.
3. Maintain hospital notes in accordance with the Plymouth Hospitals NHS Trust policies.
4. Entering admissions and discharges on iPM, including ward transfers, clinical transfers and speciality transfers and updating patient information where necessary.
5. Ensuring that the bed state is kept up to date on iPM.
6. Commence paperwork as appropriate on patient’s admission ie new front sheets and labels
7. File reports, ensuring they have firstly been seen and initialled by Medical staff.
8. Ensure availability of case notes (including investigation reports) for all admissions. Obtaining notes -from other departments using computerised tracing system.
9. Tracing of notes in and out of ward using the computerised tracing system.
10. Ensure notes are in order when patients are transferred.
11. Liaising with other departments and secretaries regarding referrals, appointments, investigations to be arranged as required and updating iPM as per Trust Policy. (NB referrals and investigations should be delivered or phoned through and not put in post).
12. GP to be notified of patient death.
13. Keep an up to date list of all investigations requested on the ward and advise junior medical staff accordingly.
14. Entering and processing admissions into the ward diary for waiting list admissions and general booked admissions.
15. Keep ward desk area tidy and free of clutter.
16. Keep the ward offices tidy and stationery replenished, distribute and redirect mail.
17. Order supplies from EPROC as requested by the nursing staff: follow-up outstanding requests for repairs.
18. Make up admission packs, etc. as appropriate.
19. General use of the VDU for clerical and identification purposes.
20. Photocopying and faxing when required.
21. Distribution of post and re-directing of mail.
22. Liaising with Post Room staff for collection or urgent specimens.
23. Work closely with medical staff and with other members of the disciplinary team.
24. To integrate into the departmental team and be able to relate to patients and families.
25. Add patient to the follow-up waiting list and book follow-up outpatient appointments.
26. Other duties, which may be allocated by the Ward Manager.
