Job Summary
As the Executive Office Manager you will be responsible for supporting the senior management team to help the organisation meet its ambitious goals.
The role is HR weighted but with the support of a HR consultancy firm.
Key Responsibilities
- Human resources responsibilities
- Preparing monthly staffing reports and starters/leavers documentation for payroll purposes ensuring accurate and timely completion of payroll
- Coordination of and attendance in Annual appraisals
- Managing the full recruitment process from JD creation through to job offers and regular contact with individuals during their notice period.
- Conducting right to work checks
- Processing DBS applications
- Managing employee inductions
- Managing employee training records
- Sourcing individual/team training
- Organising team building activities
- Managing the appraisal system
- Conducting exit interviews
- Conducting annual DSE assessments
- Managing the birthday card/ work anniversary process
- Creating staff ID/access control badges
- Manage HR processes
- Manage ad-hoc updates to the employee handbook and associated organisational policies and procedures.
- Executive support
- Monitoring office operations to ensure efficient functioning of departments
- Providing leadership in implementing organisational policies and procedures
- Take and disseminate minutes at Governing Body, Executive management, senior management, regulatory meetings, updating relevant action trackers
- Coalition and issuing of governing body papers
- Planning for external visitors’ dietary requirements
- Booking external venues/restaurants for meetings/team building activities
- Manage own and group mailboxes
- Support regulatory data submissions and compliance monitoring
- Coordination of company policies, standard operating procedures, and documents
- Problem solve any technical challenges with computer systems, email and networks
- Helping to prepare documentation, presentations, notes, and minutes
Qualifications & Experience

Excellent communication and interpersonal skills, both oral and written, with a commitment to managing expectations
- Strong ability to prioritise in a varied work programme
- Experience of consistently completing tasks within a set timeframe
- Project management experience
- Knowledge of assessment processes and strategies
- Experience of qualification development
- Experience of maintaining and developing customer relationships
- Knowledge and experience of the further education sector
- Experience of understanding differences in opinions, anticipating potential areas of conflict and proactively managing discussions
- Experience of working in a regulated awarding body/organisation
- Experience of monitoring compliance with regulatory requirements
- An understanding of FutureQuals’ products and services
- An understanding of funding opportunities and requirements

Hours
9am to 5pm, Monday to Friday (37.5 hours contractual working week). This salary has been structured taking in to account the need to occasionally work unsociable hours, as required by FutureQuals.

Nest Government Pension Plan
Holiday
35 working days holiday per annum, pro rata, inclusive of statutory holidays.
Sickness
We offer 5 fully-paid sick days each calendar year, supported by SSP thereafter.
Bonus
We do not operate a bonus scheme as these are non-contractual, not guaranteed and can be added/removed at FutureQuals’ sole discretion.
