With the rapid growth of our group of companies we are looking for a Warehouse & Quality Assistant to join our expanding team, to help the smooth running of our business operations.
As a Warehouse & Quality Assistant you will be a key member of the team, working closely with the Warehouse Manager, Quality
Manager and the wider team to ensure the business operates smoothly and in a compliant manner. You will be responsible for ensuring all stock is, procured, stored, and dispatched efficiently to meet our customer’s high expectations and in line with Good
Distribution Practice (GDP).
Your role as a Warehouse & Quality Assistant will be:
- Provide a high standard of Customer Service throughout all touchpoints with existing and potential customers and suppliers.
- Develop effective internal and external relationships, ensuring timely communication and a customer focused approach
- Accurate records and paperwork are maintained in line with MHRA GDP requirements and Company Policy
- To work collaboratively with all team members to ensure
1) All customers, suppliers and relevant stakeholders are serviced to a high and professional standard
2) All MHRA GDP requirements are adhered to
- Acknowledge and respond to enquiries received into the business via, email, website, telephone or any other method, ensuring all details of products/services required or being offered are obtained.
- Assist the Responsible Person and Quality Manager with on boarding and bonefide checks of new customers and Suppliers
- Assist the Responsible Person and Quality Manager with revalidation of customers and suppliers
- Take responsibility or support the commercial team for the despatch of customer purchase orders to meet customer requirements within agreed timescales and Company SOPs
- Help coordinate and oversee the end-to-end movement of goods from suppliers to customers in line with GDP
- Support the Warehouse manager with Goods in, Storage, Pick -Pack and goods out operations
- Support the Warehouse Manager to Book in and arrange inbound delivery of stock to the appropriate warehouse sites
- Ensure goods are checked in as per SOPs onto our system accurately and stored according to their requirements – flagging up and actioning any discrepancies
- Support the Warehouse manager to receive and escalate questions related to inbound and outbound shipments
- Interface with internal and external partners to process shipments when necessary
- Working alongside the Responsible Person and Quality Manager to conduct regular documented audits of routing to continuously improve both service and cost efficiency
- Support the Quality Manager with self-inspection and Audit tasks when required.
- Support to maintain the warehouse site – i.e. Cleaning, Pest Control Checks, H&S.
- Ensure wider Offices are maintained and kept in good condition in line with requirements.
- Support other departments within the organisation where required
- Ensuring any additional requirements imposed on certain products by national law are adhered to
- Identifying risks and to take necessary preventative measures pro-actively
- Keep up to date with regulatory changes through on going self learning, CPD and training.
- Demonstrate knowledge of Good Distribution Practice of Medicinal Products for Human Use & the Humans Medicines Act.
- Work in line with Firstline Pharma’s Code of Ethics to work with integrity, to build and maintain trusting and effective business relationships both internally and externally
Experience and skills we are looking for:
- Experience as within the Pharmaceutical environment
- Experience of Customer services and/or commercial roles
- Ability to plan and execute and deliver targets within given deadlines
- Ability to communicate at all levels of the organisation and with both internal and external customers
- Effective problem solving and organisation skills
- Detail orientated with a meticulous approach to work – in particular record keeping
- A proactive, flexible and motivated attitude to work collaboratively with the team
- Demonstrable experience working decisively in a fast-paced environment
- Adaptable to an ever-changing work environment
- Strong oral and written communication with the ability to work professionally with all levels and stakeholders
- Ability to build good working relationships, and use persuasion and negotiation skills to influence positive outcomes
- Take ownership and accountability whilst driving continuous improvement to commercial outcomes and the quality culture
- Proven time management and prioritisation skills
- Strong IT stills Microsoft Office (including Excel) and the ability to quickly learn other company systems
- Keeps up to date with all regulatory changes
- Adaptable to an ever-changing work environment
