To work with the Support Office and Restaurant Senior Teams, as Operations Executive Assistant you will be responsible for managing the schedules and communications of our COO and Group Chief People, Culture & Sustainability Officer at The Ivy Collection.
Your main duties will include prioritizing emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements. Savvy organisation skills and sharp communication skills are a must for the right OEA.
The Operations Executive Assistant's key responsibilities are:
Operate at a tactical, strategic, and operational level, handling the oversight of projects that
do not neatly fit within the organizational chart or that fall between departments or leadership
areas of responsibility.
- Act as an extension of the Executive Team to filter and facilitate information with internal
and external stakeholders.
- Act as a thought partner to the Director’s team such as standing in on meetings,
challenging ideas and offering an alternative perspective
- Work to mediate disputes, find solutions to problems, and deal with issues before they
are brought to the COO and Group Chief People, Culture & Sustainability Officer’s attention.
- Assisting and communicating with senior management throughout a decision-making process.
- Act as a point of contact and gatekeeper between top management and other stakeholders
- Proactively follow up with COO and GCPCSO’s direct reports when issues are not being resolved and determine why objectives are not being met.
- Organise and prioritise critical issues and required information for the executives to facilitate
decision making.
- Ensure all executives remain organised in dealing with projects, daily tasks, and logistics
- Maximise COO and GCPCSO’s time efficiently by ensuring the diary is well managed, meetings
are scheduled, and printable / materials are prepared to a high standard.
- Reviewing and improving the organisation’s structure with COO & GCPCSO’s and
aiding with any ongoing issues
- Act as a liaison between staff, senior management and HODs
- Being a sounding board for the COO and other senior executives
- Working alongside the Operation Manager & Operations Director to report back and update
the COO and GCPCSO on all controllable & uncontrollable business operations.
- Oversee the daily operation and work with department leaders on project coordination and
business administration
