Overview:
We're currently seeking an Office / Operations Manager to join our growing London team. The Operations Manager will be responsible for the effective and consistent coordination and implementation of processes and functions across the office. This "catch all" position encompasses office management and general operations, as well as select recruiting and human resources responsibilities.
What you'll be doing:
Operations:
- Work with the London management team to enhance and implement processes and systems to effectively manage the London office
- Office liaison with IT department in NY, ensuring every member of the team has the necessary equipment and technology for job responsibilities
- Ensure office has necessary equipment and supplies to operate efficiently; manage ongoing office supplies order
- Manage and maintain relationships with building management and third-party vendors (ie - cleaners, printer support, etc.)
- Manage kitchen pantry items and ensure cleaners service London office as appropriate
- Provide assistance for in-person meetings, including printing of pitch decks, management of IT for conference rooms, ordering of refreshments and being on hand for any last minute needs, etc.
- Water the office plants and manage the office balconies for any firm-wide events
- Assist with Prosek convening events, client networking, sourcing of venues and any associated event management
Human Resources & Recruiting:
- Support with the recruiting function for the London office including reviewing initial applications, screening candidates via phone/Zoom, and other associated duties, as needed. Assist with maintaining a talent pipeline of communications professionals at all levels
- Lead onboarding efforts in the London office, including liaising with the US-based HR and IT teams to ensure a seamless process for all new joiners
- Assist with performance management process to ensure timely collection of feedback for annual performance review process
- Assist London management on ad-hoc staffing requests and working with client teams to assess bandwidth
- Liaise with US-based HR team to maintain and update employee contracts and files
- Work closely with London management and culture teams globally to brainstorm and implement initiatives that preserve and enrich company culture, including support with office-wide events e.g. Christmas party
- Liaise directly with Prosek's benefits provider on benefits enrollment and plan updates
- Liaise with US team to ensure global coordination of firm-wide professional development efforts to coordinate London team participation
What makes you qualified:
- 3+ years of experience working in Operations, Human Resources and/or Talent Acquisition
- Ability to maintain confidentiality at all times
- Knowledge of principles of office organisation and principles of management
- Experience managing employee relations
- Ability to communicate clearly and concisely, verbally and in writing
- Attention to detail and excellent organisational skills
- Ability to multi-task several responsibilities seamlessly
