Pertemps are supporting a unique client based in Glasgow who are looking for an Exectuive Assistant to support the CEO. This role will be essential in managing the CEO's diary and attending crucial meetings with them. It is important that you have experience supporting Director level and have managed a busy diary. This role will allow you to work in a diverse and busy environment and no two days will be the same. This role will be full time and permanent and hybrid working is offered. Salary is depending on previous experience.
On a day to day basis, you'll be involved in the following:
Provide high-level EA support to multiple Directors and administrative support for the team
Extensive diary management, including scheduling and prioritising all meeting requests.
Organising and forward planning meetings involving senior colleagues and external stakeholders.
Preparing and distributing meeting agendas, supporting papers, minutes and actions.
Supporting the Leadership Team to meet strict deadlines and requirements
Organising Travel and accommodation in line with company travel and expenses and compliance policies.
Processing expenses, purchase orders and invoices on behalf of CEO and directors.
Supporting CEO with people management processes such as holiday tracking, gifts and hospitality approvals and joiners/movers/leavers.
Taking a continuous improvement approach to support to identify opportunities for the most efficient and effective PA support model, particularly embracing and using new technology and functionality.
Ad hoc duties as required
The Person
We're looking for someone who:
Demonstrable experience working in a EA/PA role is essential
Highly organised, logical and methodical approach to work with an emphasis on accuracy and attention to detail
Experience of working independently using own initiative as well as collaborating as part of a team
Possess excellent written and oral communication skills, with strong interpersonal skills and the credibility and confidence to deal with people at all levels
Ability to multi-task and deal with several duties at any one time
Ability to demonstrate a high level of discretion, diplomacy and judgement to handle confidential and sensitive material
IT literate with practical experience of Microsoft Word, PowerPoint, Outlook, Teams and Excel
Possess a professional and confident telephone manner and excellent communication skills, both oral and written with a high level of literacy
Possess strong administrative skills, including numeracy
