Clinical Engineering Systems Administrator

Job Description

To support the routine operation of the Medical Devices Asset Register (MDAR) by maintaining medical device service schedules, overall data accuracy, consistency and the usability of all its records and functions.

To interrogate the database and produce documentation and reports from data within the MDAR on device maintenance and usage as directed by Clinical Engineering Senior Management.

To support the further development and adoption of all Medical Device Asset Register facilities in Clinical Engineering and with other users.

To provide department information technology support and training for Clinical Engineering staff alongside quality checks of device records and information.

***Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***

• Assists with development and adoption of medical devices management system software in association with HCST IT lead, across the department
• Maintains Trust’s MDAR to ensure that records are accurate, complete and consistent
• For Planned Preventative Maintenance (PPM) planning and service records,works in association with appropriate Team Leaders to schedule PPM activities for technical staff
• Responsible for regular and ongoing audit of medical equipment records.
• Creates documentation and reports on MDAR data, technical and other topics as directed by Senior Management.
• Analyses information and data and uses reporting tools within the MDAR to support technical staff and for KPIs
• Acts as department champion for the development and maintenance of the Trust’s MDAR, advising on suitable solutions to suit the Trust's needs.
• Liaises with MDAR supplier on improvement of their system to benefit operational requirements.
• Supports the integration of MDAR with Procurement and other applications.
• Trains all staff in the routine use of MDAR in accordance with agreed procedures.
• Supports correct entry into MDAR of supplier and customer contract information
• Plans own work in cooperation with Clinical Engineering Management and Healthcare Systems Manager.
• Line manages lower grades as required.
• Support colleagues in the provision of some front of house facilities e.g. cover for colleagues absences, monitoring the CE helpdesk mailbox, processing messages and urgent requests for assistance.

• Supports technicians to ensure the accurate recording of data for Clinical Engineering operational needs.
• Ensures all work is properly recorded at each stage, e.g. onto the Trust’s Medical Devices Asset Register in accordance with National regulations and local Trust Policies.
• Provides daily operational performance data from MDAR across all Team activities.
• Receives visitors to Trust accommodation with due regard for their safety in potentially dangerous environment.
• Maintains service schedules, records scientific and technical documentation in accordance with Quality System and the Trust’s Medical Devices Database.
• Understands, works and complies with the Quality System bringing to the attention of the Team Leader any non-compliance.
• Acts as auditor for the Quality System.
• Supports activities within the Quality System as directed by Senior Management, performing actions as required.
• Participates in team brief meetings with the Head of Clinical Engineering, Team Leaders and other staff as required.
• Assists in the Medical Equipment Library as required.
• Provides assistance to other colleagues within Clinical Engineering as appropriate.
• Uses and take responsibility for all computer equipment and software in their care.
• Takes appropriate precautions in the work environment, where there could be exposure to hazards of electrical, optical, mechanical, biological, radiological and chemical natures.

• Ensures that all tasks are carried out in compliance with current legislation, standards and guidance.
• Maintains daily review of MDAR activities, reporting on non-conformances
• Uses reporting applications to publish the results of activities within MDAR

• Provides and receives complex information when communicating with colleagues within the Service Line, with other UHP staff, external customers, manufacturers and suppliers
• Communicates effectively, through oral and written media, gives advice and clearly explains the nature of software problems and faults.
• Uses e-mail, Microsoft Word and Excel to communicate and uses the Internet for the benefit of UHP

• Prepares training material and trains Clinical Engineering staff and other MDAR users in the correct operation of the system via one to one and group sessions.

• Regularly updates specialist knowledge by remaining aware of developments and technological trends within the scientific and clinical environment.
• Attends appropriate seminars and courses to further Personal Development and the work of Clinical Engineering and the Service Line.

• Works flexibly and occasionally outside normal working hours to meet service requirements. Participates in an out of hours on call rota as required.
• Assists colleagues when required to move large or heavy equipment which can be in excess of 25kg.
• Works away from the normal base. eg other Hospitals, Healthcare providers.
• Is familiar with and takes part in the Trust’s Major Incident Plan.
• Transports equipment between sites using Trusts or own vehicle as required
• Carries out all duties in accordance with the requirements of the Health and Safety at Work Act, relevant Statutory Regulations, Approved Codes of Conduct and Local Rules, policies and practices
• When working in other departments, liaises with local heads of department, ward managers or their representatives as appropriate. The Post holder will behave courteously and professionally at all times and seek to ensure that the highest level of service is provided.
• Performs other appropriate duties, which may be required from time to time by the department management
