Job Description

We have been a leading figure in publishing for more than 500 years. We have always been a forward-looking organization, maximizing the technology for the day, but the digital revolution is bringing enormous change, fast. That same spirit of adventure and entrepreneurialism is critical to our future success. In a fast changing publishing landscape, OUP welcomes the inquisitive, the inventive, and the ambitious; people who challenge the conventional, and pioneer the possible.

The Academic Division is the largest division of OUP, and responsible for Academic publishing around the world, including dictionaries and reference; higher education; scholarly, professional, and trade books; Journals; and Online products. Its main offices are in Oxford and New York, but it also has a presence in Canada, India, China, and Japan.

ABOUT THE ROLE

This is an exciting opportunity to start your career in publishing with OUP as an Editorial Assistant. We are looking for someone efficient, professional, and proactive to join our vibrant and supportive team. The Editorial Assistant is responsible for providing editorial and administrative support for a multifaceted publishing program, supporting both commissioning and content development across multiple formats and disciplines, and liaising effectively with authors, editors, reviewers, and in-house stakeholders to fulfil allocated responsibilities for the effective management of projects.

Key responsibilities:

  • Provide editorial and administrative support at all stages of the editorial publishing process across all formats, as part of the Content Development Team.
  • Assist in project set-up, including creating or recording accurate product/content data using various internal systems (e.g., Oxford Publish) and running P&Ls from the system.
  • Process and track content and data, within defined procedures.
  • Under limited guidance, process standard contracts.
  • Support authors, including answering basic, routine queries and directing more complex queries to appropriate internal staff. Provide standard materials, explain content-delivery preparations, and maintain the relationship between authors and OUP.
  • With supervision, learn how to manage new-in-paperback projects and/or projects from the point of author-delivery to handover to Production.
  • Assist with preparing content for handover to Production.
  • Process and track payment requests through relevant systems to ensure timely and accurate payments to suppliers, authors, and freelancers.
  • When requested, provide administrative support as required for the Heads of Content Development and Head of Editorial Operations, carrying out regular or ad hoc tasks as directed to help the department run effectively.
  • Work collaboratively with cross-functional colleagues, including maintaining information flow between Editorial and other departments across OUP to ensure that the publishing process runs smoothly.
  • Benefit the department, the Division, and the wider Press via your active, positive contribution in the performance of your accountabilities and your participation in additional projects as agreed with your manager.

We operate a hybrid working policy that requires a minimum of 2 days per week in the Oxford office.

ABOUT YOU

The successful individual will be organised and have a passion for publishing looking to join a supportive, creative, and innovative team. Other skills and experience required include:

  • Be self-motivated, proactive, detail-oriented, receptive to feedback, and learn quickly.
  • Have excellent organizational, time-management, and project-management skills, and the ability to balance a variety of responsibilities/projects and manage time effectively to meet deadlines.
  • Be able to work consistently within established timeframes.
  • Have strong oral and written communication skills.
  • Have excellent proofreading and research skills.
  • Have proficiency in word-processing and spreadsheet applications.
  • Be able to work quickly, accurately, and diplomatically under pressure.
  • Be able to work efficiently and effectively in a virtual environment.

BENEFITS

We care about work/life balance here at OUP. With this in mind we offer 25 days’ holiday that rises with service, plus bank holidays and Christmas closure (3-days) and a 35-hour working week. We are open to discussing flexibility in respect to working patterns, dependent on role. We also have a great variety of active employee networks and societies.

We help make your money go further by contributing to your pension up to 12%, offering loans and savings schemes through our partnership with Salary Finance, in addition to travel to work schemes and access to a wide range of local discounts.
