Job Description

These roles are part of our Lomond Investment Management department to provide an account managed, single point of contact service for lettings, property management, block and estate management and sales throughout the UK.

x2 Full time, fixed term or permanent options available (£25,000pa)

Key Tasks / Responsibilities

The Leasing & Customer Service Associate will be responsible for driving performance of the leasing of the development at Annington. The role comprises oversight of all aspects of the leasing strategy, from meeting lease up targets to the ongoing re-let of the apartments, advertising and accompanied viewings as well as providing market feedback and business recommendations.

Initial Lease-up & Tenancy Management

  • Managing prospective residents, from sign up through to the execution of tenancy agreements ensuring a warm welcome at move in
  • Working closely with remote team to progress applications efficiently
  • Check-ins – to walk through the inventory with the resident on site
  • Ensuring legal documentation is accurate
  • Ensuring that repairs are completed within a reasonable timescale.
  • Ensuring compliance with legislative safety checks e.g. electrical safety and smoke alarm checks
  • Registering the residents deposit in a secure deposit scheme
  • Drafting tenancy agreements and other tenancy-related documents
  • Providing an introduction to the building and tour of the facilities available and handover of keys

Ongoing Tenancy & Resident Care

  • Once residents have moved in, exceptional on-going care must be provided, including informed and accurate advice so that the resident retention rates remain high
  • Working closely with a remote team to manage and collect any rental arrears
  • Engaging with residents to encourage renewals (where applicable) and taking the process forward with the remote team through to completion including the preparation of required memorandums
  • Working with the Scheme Manager to organise and manage monthly resident events to encourage resident engagement.
  • Log all maintenance request using the onsite property management system
  • Assist in the running of the buildings, which include but not limited to: Electrical safety checks, fire risk assessments, weekly and monthly compliance checks.
  • Arranging check-out appointments and liaising with the residents regarding deductions where appropriate
  • Arranging the deposits to be released in a timely manner – in line with legislation and company procedure.
  • Dealing with general enquiries from the public, potential residents and current residents
  • Maintain marketing suite and back office, keeping them tidy at all times and ensuring DPA guidelines followed in respect of data held
  • Manage the key handling process for all contractors, residents and site staff to ensure security maintained at all times, keeping a detailed log and adhering to key release procedures.
  • Assisting and monitoring the subcontracted building and maintenance contractors to ensure the building is well maintained and adheres to the relevant safety and legislative checks.

Person Specification


  • Prior experience in property management is preferable but not essential.
  • A positive and proactive attitude and has a natural flair for and enjoys dealing with people and always looks to provide the best customer service
  • Ability to organise and prioritise tasks and responsibilities.
  • Strong problem-solving skills
  • Computer literate and comfortable using a suite of software used to carry out and manage daily responsibilities
  • Great attention to detail
  • Reliable
