Job Description

Celtic English Academy is a friendly and welcoming English language school in the centre of Cardiff, which takes pride in its small class sizes, great teachers and wonderful support staff. We offer a range of beginner to advanced level English language courses for international students including, but not limited to; General English, IELTS Exam Preparation, Cambridge Exam Preparation, Teacher Development Courses, One-to-One lessons for adult students, and bespoke packaged programmes for both adult and young learners.

Each year approximately 1000 adult students with an average of 11 weeks stay study with us from up to 50 different nationalities. We accommodate 150 - 350 students at any one time and we strive to always have a motivating and student-focused environment where we can offer a great service to all that study with us.

Full Time


General

  • Assisting line manager in managing enquiries on projects such as ReACT funding, Trinity LAF and Taith, following-up and converting to sales.
  • Conducting market research for new opportunities with line manager's guidance
  • For Taith, ensuring that all marketing materials adhere to ours and Taith's Welsh language policies
  • Supporting the line manager in developing strategies and contributing to the whole Celtic team when undertaking larger scale projects or operations
  • Supporting with any events, local marketing or wider initiatives as identified by the team.
  • Regularly gaining Taith student testimonials and reviews to enhance CEA's reputation and share positive customer stories.
  • Awareness of CEA's branding, tone of voice, mission and vision, to ensure consistent and appropriate messaging across all methods of communication.
  • Occasional minute-taking responsibility with departmental meetings

Taith

  • Assessing applications for Taith funding, following the given rubric and marking criteria with line manager's guidance
  • Booking Taith trips, including flights, accommodation, tuition with IALC providers and insurance
  • Communicating with outbound Taith participants and liaising with relevant members of staff and individuals for inbound trips
  • Arranging pre, during and post departure cultural awareness training with academic department
  • Arranging and managing buddy systems for Taith participants, as well as wellness and drop in sessions
  • Ensuring relevant reporting tools for Taith are kept up to date, in a timely manner
  • Record keeping for Taith, following the Taith guidelines
  • Ensuring that relevant staff have the relevant training to be involved in Taith, both overseas and in Wales
  • Support the Line Manager and the CEO with stakeholder development related to Taith including but not limited with IALC partners and local schools in Wales
  • Support the Line Manager in applying for further Taith funding

Welfare and Safeguarding

  • Upholding the Academy's Health and Safety policy
  • Following correct welfare policy and procedures, including the safeguarding of under 18s. This includes but is not limited to:
    • Ensuring safer recruitment practices are being followed
    • Ensuring that the Safeguarding policy is known to all adults related to the school (including homestay providers, taxi drivers, seasonal social activity staff and group leaders)
    • Following regular Prevent and Safeguarding training

Professional Development

  • The post holder will be responsible for their professional development through on-going training as provided by the company or elsewhere subject to the Company's approval.
  • Actively participating in job shadowing

Data Protection & Confidentiality

  • The post holder must maintain the confidentiality of information of students, staff and business following the General Data Protection Regulations 2018 and subsequent amendments. All employees must not, without prior permission, disclose any information regarding students or staff

Essential Criteria -

  • Maths and English at GCSE grade C or above
  • Willingness to work towards a safeguarding level1, 2, or 3 qualification
  • Computer literate with excellent knowledge of Microsoft Office including Word, Excel and Powerpoint
  • Experience of giving a high standard of customer service
  • Experience working in a customer facing (virtually or face to face) environment eg handling enquires or taking payments
  • Experience in student or visitor administration, admissions, accommodation, travel bookings etc.
  • Experience of reporting your own work and managing your own deadlines
  • Excellent communication and interpersonal skills
  • Excellent organisational skills
  • Excellent administrative skills
  • Excellent time keeping skills
  • Self-motivated, reliable, able to take initiative
  • Ability to meet deadlines and able to multi task
  • Effective at handling complaints, feedback and managing expectations
  • Ability to work well under pressure during peak times

  • A level of English equivalent to C2 on the CEFR

Desirable Criteria -

  • Welsh Speaker
  • First Aid and or Mental Health First Aid valid certificate
  • Any training related to pastoral care, safeguarding of under 18'sor student welfare of international students
  • Enhanced DBS
  • Working knowledge of Google Work and G-Suite programmes
  • Knowledge of the Study-Visa application process
  • Knowledge of the ELT or international education centre
  • Knowledge of the Data Protection Act
  • Knowledge of Visa regulations for British passport holders overseas
  • Experience of compliance audits (relating to safeguarding and visa/identification documents)
  • Experience of working in a fast-paced office, hospitality or administrative environment
  • Experience of working with international students or customers from a wide range of cultures/countries
  • Experience in using a CRM system or database for managing customer data
  • Experience of complaint handling
  • Experience of assessing applications, eg for scholarships, grants or similar
