An exciting vacancy has arisen within our Customer Service Team for a Part-Time Administration Assistant to join the team. Reporting directly to the Administration Team Leader, the main purpose of this role is process invoices, answering telephone calls and emails from end users, colleagues, contractors and merchants to ensure they are supported with queries such as extended warranty, annual service, documentation requests and booking jobs in for commercial customers within the service level.
You will need great attention to detail to process invoices and ensure our customers are receiving the right message whether this is via a telephone call, email, text, or letter. Utilising the available tools to upload customer warranty information accurately to the systems so it is accessible if the customer needs to contact us.
Please note that during the initial training period of approx. 1 month you will be required to work 100% in the Warwick office.
As an Administration Assistant, you will:
- Answer inbound telephone calls and emails from end users and Call Agents, providing support and guidance when required within the set service level
- Process payments
- Process invoices
- Creating Baxi Own Contracts & warranty agreements alike
- Ensuring all jobs have been invoiced correctly and on time
- All data loaded into the system has been loaded accurately even where manual intervention is required
- Ensuring field trial appliances are serviced and terminated on time
- Applying a continuous improvement outlook to all tasks
Knowledge, Skills & Experience Required:
- Have an excellent attention to detail
- Good interpersonal skills
- Sound literacy and numeracy skills
- Great communication skills
- Good computer skills, including knowledge of: Windows, Microsoft Word and Excel
- Ability to work well independently or as a team
- Adapts to change well and views it as an opportunity
