The Role and the Department

The School of Modern Languages and Cultures is one of the largest and most successful of its kind in the UK, bringing together research in Arabic, Chinese, French, German, Hispanic Studies, Italian, Japanese and Russian Studies. It is consistently ranked in the top five in national league tables, such as the Complete University Guide. The School’s reach spans Europe, the Arab world, Russophone Eurasia, Hispanic America, and East Asia, and their mutual socio-cultural, intellectual and linguistic relations.

The Operations Coordinator is responsible for the provision of a professional, efficient administrative service, taking responsibility for many operational aspects of the School that underpin delivery of research and teaching strategic objectives. The School is seeking to appoint an experienced administrator who will be able to work independently, taking day-to-day decisions and using their experience and initiative to decide on appropriate courses of action and resolve complex problems. They will possess excellent organisational and time management skills, display initiative and flexibility, and demonstrate a commitment to customer service excellence. The post-holder will ensure deadlines are met and service delivery standards are maintained, working in accordance with University, and Departmental policies and procedures. They will liaise with other PSS divisions, Business Partners and Colleges across the University.

What you need to demonstrate when you apply/Person Specification

Your application should cover the following criteria:

Essential Criteria

1. Excellent oral and written communication skills and the ability to develop effective working relationships, both internally and externally.
2. Strong digital competence with demonstrable skills in using core digital tools including internet, email, digital communication tools, Microsoft 365 applications, digital booking system, project planning.
3. Five GCSEs at least Grade C or level four (or equivalent) including English Language and Mathematics (or equivalent experience).
4. Post-16 qualification or equivalent experience.
5. Relevant administrative experience in a busy office environment. *
6. Demonstrable ability to proactively work with team members to ensure the delivery of high quality services.
7. Demonstrable ability to provide advice and guidance to a range of customers and colleagues.
8. Experience of working on the front line with service delivery, and the ability to work under pressure and meet tight deadlines without compromising on quality. *
9. Ability to solve problems and resolve issues, plan solutions and make pragmatic decisions.
10. Experience of working with information management systems and data, ensuring maintaining accurate records and attention to detail at all times. *
