Are you a real people person with a passion for putting people first? Yes, then M&D Care has the perfect role for you. We are seeking a Receptionist (People Host) to join our People team at M&D Care. The role is based at our new Inspiration Centre in Carmarthen and is key to providing all visitors (including new starters, staff and training attendees) with a warm and friendly welcome.
The moment a visitor steps into our Inspiration Centre, they walk into a genuinely memorable experience, where they feel instantly welcomed. As a Receptionist/People Host with us, you'll take the time to talk to people, build a genuine rapport and ensure a smooth and efficient introduction to M&D Care. This role will see you provide administrative support and act as the face and voice of the company by greeting visitors both face to face and by phone.
Responsibilities
- To represent M&D Care with a positive attitude and professional appearance.
- To handle all telephone enquiries with professionalism, establishing their needs to ensure they are directed/transferred to the correct department/team.
- To welcome visitors to the Inspiration Centre making sure that they are assisted in a caring and pleasant manner.
- To receive visitors at the reception desk by greeting, welcoming, directing and announcing them appropriately.
- To maintain a room booking system for all meeting/training rooms and make sure rooms are prepared as necessary for each meeting/training session.
- To provide refreshments for visitors and ensure the seating and refreshment areas are tidy and fully stocked.
- To manage incoming and outgoing mail and deliveries.
- To assist with department administrative tasks as required, including, scanning, filing, data entry and photocopying.
- To ensure all administrative procedures are completed accurately and in accordance with the departmental guidelines.
- To manage coordination and responses to all requests for internal meetings by making appropriate arrangements.
- To assist and support the HR team with screening applicants and booking interviews as when required.
- To print, assemble and distribute information packs for training and meetings.
- To arrange when required catering for meetings and training sessions.
- This is not an exhausted list of duties and you will be expected to perform tasks in addition to this, to meet the needs of the department/business.
Qualifications
Essential:
- Administrative and customer service experience.
- Exceptional telephone manner.
- Have good interpersonal skills, suitable for working in a busy office environment.
- Excellent verbal and written communication skills with a strong customer service focus.
- A confident and approachable attitude, as well as the ability to work well under pressure.
- Strong organisation and time management skills.
- Good attention to detail.
- Demonstrate a commitment to the M&D Care Values.
Desirable:
- Receptionist/ host experience ideal however not essential as full training is provided.
