Description
We have an opportunity for an exceptionally organised and experienced Office Manager and Administrator based in our Glasgow city centre studio. You will have responsibility for the office management of our Glasgow and Edinburgh studios and for leading our administration team. You will report directly to the Studio Principals.
Your duties will include:
- Supporting the business leadership in managing the day-to-day functions of a working studio.
- Managing and organising the maintenance and upkeep of studio facilities
- Managing the studio administration team
- Complying with relevant statutory regulations (e.g. health and safety procedures)
- Complying with relevant Quality Assurance processes, including taking part in audits.
- Managing the procurement of studio supplies and essential services (e.g. utilities) and assisting in the management of studio budgets.
- Attending and contributing to practice-wide Office Management meetings
- Managing and maintaining contractor relationships (e.g. refuse collection, cleaners)
- Assisting in the organisation and management of studio events and meetings
- Knowledge of HR would be advantageous.
About you
You will be self-motivated and competent at managing your own workload. You must be above all highly systematic, but also unflappable, patient and flexible; assertive yet diplomatic, with strong interpersonal skills and persistence. You will have strong organisational skills and the ability to multi-task. You will be able to communicate on a highly professional level with client team members, will have an excellent standard of written and spoken English and a ‘can do’ attitude along with meticulous attention to detail. Proficiency in Microsoft Office is a necessity.
Previous experience of office management and office administration in a high-pressure environment would be preferred.
