Overall job role and purpose:
The key role of is to deliver the best care possible underpinned by robust systems and making the best use of resources.
To help ensure that services are;
- Provided in a timely and efficient way
- Responsive to the needs of patients
- Supported by a well-managed patient services team
- To manage all of the HR functions associated with the PSO team
- Underpinned by excellent organisational structure and well organised team
Staff
To manage the administrative staffing rota to ensure cover at all times and that services are provided to an acceptable standard
Patient services
- To ensure that that patient services are provided in a professional, timely and
responsive manner.
- To manage the practice’s compliance with patient confidentiality, health and safety
- To work with the managing Partner to manage any complaints and comments and
recommend action following lessons learnt.
- To oversee and manage the patient appointment system
- To manager the clinical appointment sessions following training and with the
support of the managing partner
Finance
- To manage petty cash and any ‘over the counter’ payments received within Patient
Services. eg payment for personal consultations or scripts
Data management
· To manage all log in and access systems (EMIS windows, Docman, Smart card, NHS
e-mail) and to train another member of the team to do this
- To understand the PPA submissions and monitor and supervise and to train others
if appropriate.
- To undertake new data Management roles as agreed with the support of the Team
Leader
Environment
Working with the Patient Services staff to ensure that:
- the environment of the Practice is welcoming, friendly and tidy
- work areas are kept tidy and accessible
- public areas are well maintained and that all material within the waiting area is
appropriate to those using the area
- on a daily basis, clinical areas and consulting rooms are tidy and appropriately
equipped
- Working with the Patient Services and Nursing staff to manage and provide within
waiting areas a calendar of events relating to health, wellbeing and health
promotion.
- To develop a co-ordinated layout of all rooms to promote flexibility of room usage.
- To develop and implement a recycling strategy for the Practice.
- To take delegated responsibility for routine day today maintenance issues of the
Practice, ensuring that the health and safety of the Practice is maintained for all
who use it
General
· To undertake duties that aid the smooth running of the practice including
participating in the good housekeeping / domestic needs of the Practice including
ordering of non-clinical supplies.
- That risk is identified in relation to work activities and that activities are undertake
in a way that manages risk.
- To put in place and manage on a daily basis any additional administrative process
required by the Practice for its effective management
