Role Overview
The purpose of this role is to provide a first-class corporate governance and company secretarial service to BGUK Market Unit companies. The principal part of the role is to support the Insurance Company Secretarial Team in ensuring the smooth running and effectiveness of Board and Committee meetings, providing high quality advice and support across a range of company secretarial and departmental tasks and activities.
The role holder will be part of the BGUK Legal function, reporting to the Senior Assistant Company Secretary. The role holder is expected to work in a fast paced and challenging, diverse environment. The Legal function is central to Bupa’s commercial operations and growth strategy. The role holder will be working closely with legal colleagues and other stakeholders from finance, operations, commercial, governance and compliance including company secretarial colleagues within the Provision and Litigation Team and Bupa Group.
What you’ll do
Board & Committee Support

Supporting the Insurance Company Secretarial Team to ensure the smooth running of all aspects of Board and Committee meetings, (including organising board and committee meeting dates, preparation and drafting of meeting agendas, minute outlines, timelines, regular papers, co-ordination and distribution of papers by Diligent Boards (externally hosted electronic board paper portal), forward business schedule, administration of meeting logistics including room/catering arrangements and lunches / dinners).

Providing advice and training to paper authors to ensure compliance with the guidelines in terms of paper format (including reviewing and amending draft papers where appropriate).

Be the primary contact for all general enquiries relating to the organisation and logistics of the Board and Committee meetings or information requests.

Providing administrative support for Non-Executive Directors such as supporting induction programmes, IT support, travel and processing expenses.

Develop and maintain a strong and professional working relationship with key internal and external (such as IT, Facilities) stakeholders, building and encouraging an open and collaborative approach to working for all Board / Committee stakeholders.

Effective and considered stakeholder management with Senior Managers, Board Directors, their PA's and EA's including drafting of communications.

Supporting the Insurance Company Secretarial Team in the smooth operation of offsite/overseas Board meetings including drafting/managing/updating the itineraries and related documentation.

Ensuring effective Board procedures and processes are followed to deliver efficient, robust and effective work practices.
Team Support

Assisting with onboarding new colleagues/ returning colleagues, including setting up with any new equipment and arranging appropriate systems access.

General office duties, e.g. processing invoices and expenses, archiving on Diligent Boards, scanning, minute filing.

Diligent Entities – supporting the team with basic data input and maintenance for the relevant entities
What you’ll bring

A high standard of education with particular emphasis on well spoken and written English.

Excellent planning and organisational skills with the ability to juggle and prioritise a number of different activities whilst working to strict deadlines and to maintain an up-to-date schedule of outstanding/continuing actions.

Excellent interpersonal and communication skills with the ability to communicate at a senior level and the ability to be pro-active, including the ability to influence and be listened to.
