Job Description
The Receptionist role is to be the first point of contact for phone calls and greeting visitors.
The Receptionist will welcome visitors and sign them in correctly.
The role will provide hospitality to visitors which will include providing with drinks and food when required.
The receptionist will also look after factory samples by liaising with the technical and commercial teams.
Reception Duties
· Greeting visitors and signing them in correctly.
· Escorting visitors to the meeting rooms
· Providing visitors with drinks (tea & coffee) and lunch throughout the day if required
· Clean the meeting rooms once visitors have left
· Answering the telephone and transferring calls to staff members
· Screening nuisance calls
· Taking messages from customers/suppliers
· Answering the intercom for the gates and entrances around the site
· Arrange the booking of meeting rooms and company cars for staff members
· Getting the post ready by franking the mail ready for the post office
· Order stationary
· Price compare stationary for both Salisbury and Maelor
· Distribute stationary to factory staff
Samples
· Samples of our products are requested by Customers normally be email
· Monitoring [email protected] make sure that no samples are missed
· Ensure commercials have been agreed for all samples
· Create request sheet for the sample request and have it signed by relevant personnel
· Inform the QA team about sample requirements
· Creating a top sheet for samples
· Liaise with Transport to arrange delivery of the sample
· Checking sample delivery information
· Update the sample log sheet once the sample has been produced
Accounts
· Filing and archiving of sales Invoices
· Putting Chicken Intakes onto Sage
· Vetting the Agency hours on Thursday, Friday and Mondays.
Miscellaneous duties
· Photocopying and sending faxes
· Entering trays and pallets for Suppliers on Excel Spreadsheet (holiday cover)
· Folding payslips and completing holiday confirmation slips (holiday cover)
Covering other job roles within your team when staff members are absent due to holidays or sickness.
