Job Description

The vacancy

Moore Barlow is currently seeking a responsive and dependable Admin Assistant to join our leading Private Wealth Team in Guildford.

We are different - although a Top UK Regional Law firm, we strive to be different. We give people the space and flexibility in where and how they work to deliver the best experience to our teams and clients alike. This means much more than just hybrid working – we are ambitious and seek to be recognised as the best regional law firm to work for.

The successful candidate will demonstrate a self-starter attitude, with a willingness to get involved in a wide variety of administrative tasks, with the aim of allowing our team of experienced Legal Secretaries (who in turn support a team of nine fee-earners) to work at optimum efficiency.

Significant on-the-job training and development will be provided in this role, making it the ideal opportunity for an aspiring Legal Secretary to get a “foot in the door” with a supportive, and people-focussed Firm.

Day to Day:

In this varied role, you will:

  • Carry out a broad range of administrative tasks, including photocopying, scanning, post-room duties, organising meetings, and diary management.
  • Deal with enquiries on the phone as needed, taking accurate messages and following up if necessary.
  • Assist with the opening and closure of client matters, as well as the archiving and storage of closed files.
  • Take responsibility for fee-earner filing, and ensure all files are kept up to date throughout the matter.
  • Handle basic accounting tasks including expense claims, write-offs and time transfers.

What we look for:

Our Firm is built on the value of “Human First”, and because of that, we are looking to recruit those with a passion for delivering the best possible outcomes for their clients, and the drive to continuously learn and improve. We are ideally looking for:

  • An individual with basic familiarity with various administrative tasks (note that experience in a similar position and/or organisation is not essential).
  • Good working knowledge of Microsoft Office packages, including Word, Excel, and Outlook.
  • Engaging, empathetic, and friendly communication style, with the ability to interact confidently with clients and internal stakeholders.
  • Creative problem-solving skills; able to think outside of the box with a willingness to help others in the team.
  • The ability the work methodically, accurately, and efficiently.

Above all, ours is a friendly, empathetic and expert team and as such, we are seeking an individual who is able to demonstrate a team-focused mindset, and a passion for achieving the right outcome for the clients we serve, and the Firm.

If you would like to learn more about this opportunity, please contact Brandon Duchesne, Talent Acquisition Manager, for an informal and non-committal conversation - [email protected].
