Job Description

Experience within an engineering/ manufacturing environment is preferred.

Your duties will include the following as per the Spindle Services Standards:

· Reception Duties – Handling the switchboard, receiving customer calls, directing calls accordingly, taking messages, distributing messages. All to be carried out in a courteous, polite and professional manner.

· Preparation of quotations/ letters/ e-mails as required by directors, using Microsoft Word, working within the company letter/ quote systems. Learning the quote system with the aim of quote preparation independently in due course. Transmission of E-Mails to customers/ suppliers. Phoning customers to supply requested information whether technical data or sales information, as supplied by managers.

· Preparation of spreadsheets using Microsoft Excel, data input to existing internal formats, for costing and budget analysis purposes.

· Data Input into Microsoft Access databases, preparation and printing of pre-formatted reports

· Copying of reports/ drawings/ letters etc as required using the photo copier

· Preparation and issuing of Purchase Orders to suppliers as directed by Company Managers/ Directors. Phoning suppliers to request quotations, preparation and sending of Requests For Quotations to suppliers.

· Organisation of company filing systems to instruction, both electronic and manual.

· Preparation of Delivery Notes, copying of inspection data and vibration data for supplying to customers with delivery notes. Preparation of Carrier paperwork and contacting carriers to arrange collection per instruction from Managers/ Directors.

· Collection of E-Mails during Managers/ Directors absence, responding to E-Mails as required, sending information to suppliers and customers via E-Mail transmission.

· Data Input into Sales and Vendor database to keep customer and supplier records up to date.

· Suitable Packaging of some small parts orders for Shipping

· To Maintain a Good Level of Housekeeping, this will include cleaning of offices.

· Attending to visitors in a polite and courteous manner, looking after customers whilst waiting for directors.

· Occasional local deliveries/ collections in the company van. You are required to hold a full driving licence.

· Progressing of purchase orders with suppliers to assist production requirements to meet the schedule.

· Other Tasks as specified by Directors. (e.g: arranging travel abroad for directors/ engineers, stocking of stationary items, development of computer systems, organisation of holiday charts/ records, etc.)

Salary: £20,000.00-£21,500.00 per year
