Job summary
We’re looking for an Operations Coordinator to join our team. A talented all-rounder, multitasker, and problem solver, you will be responsible for supervising office operations and providing support to the Operations and HR teams. You are calm under pressure, well organised, professional, trustworthy, and always deliver operational excellence. You will be able to write effective employee communications, provide administrative support to the team, shape and administer office policies, as well as help plan and organise social and cultural activities for SJR employees.
This is a full-time, permanent, office-based position in London, working in our Operations team, reporting to the Managing Director, Business Operations.
The role’s core responsibilities:
Operations support
- Looks after SJR’s key internal communication channels and distribution lists, implementing updates on an ongoing basis.
- Manages the development and distribution of agendas and content for monthly agency Town Hall meetings.
- Supports SJR’s Social and Diversity, Equity & Belonging committees through the planning and organisation of events and initiatives.
- Helps develop and implement new processes to improve efficiency, quality, and daily output.
- Supports teams with travel arrangements and makes bookings accordingly.
- Undertakes ad hoc administrative tasks, including raising POs, meeting room bookings, set-up and catering, taxi and courier bookings, purchase of gifts, restaurant and bar reservations.
Office management
- A key cultural ambassador in the agency, liaises with visitors, welcomes new starters, and ensures that the office is an inviting and positive space for all.
- Manages the desk booking system and assists with any queries.
- Creates and shares reports and trackers.
- Delivers timely, clear, and effective communication to employees regarding the office space.
- Builds effective working relationships with key contacts within the building (other WPP agencies, facilities, catering, building management, IT) and acts as primary point of contact for employees for any office and building-related questions and issues.
- Through these contacts, actively stays informed of new procedures and relevant information and then shares with SJR employees.
- Undertakes appropriate training for first aid and role of fire warden.
- Ensures adherence to the Clear Desk Policy to ensure workplace hygiene, security, and to safeguard confidential information.
- Maintains office supply inventory; including paper, shipping, cleaning, decoration, snacks, shared kitchen supplies/refreshments, emergency, and safety supplies, and manages spend against office budget.
- Works closely with the IT Manager to ensure all employees have the necessary equipment.
- Manages requests for set up and deactivation of guest and staff security passes.
Administrative support to HR
- Works closely with the HR Director supporting with HR admin tasks. This includes maintaining personnel lists, organisational charts, monthly reports, onboarding and off-boarding activities as well as other ad hoc HR admin tasks.
What we are looking for
- Minimum 4 years operations experience, ideally in an agency or creative environment
- A resourceful team player with the ability to also be extremely effective working independently.
- Outstanding communication skills – able to connect and collaborate with a wide variety of people across teams and functions.
- Strong writing skills – an excellent eye for detail, able to deliver timely and error-free written materials.
- Flexibility, enthusiasm and a ‘can do’ attitude for new and varied tasks.
- Excellent time management and project coordination skills
- Creative and innovative thought processes, the ability to offer up new ideas.
- A strong willingness to learn and a commitment to continuous improvement.
- Discretion and the ability to adhere to the highest standards of confidentiality.
- The ability to plan and anticipate requirements.
- Proficient with Microsoft Office, Adobe Acrobat and Apple OS programs such as Keynote
- Excellent written and verbal English
