Job Description

This role is within a unit where Surrey Police and Sussex Police work in collaboration, whilst continuing to be two separate legal entities/employers with different terms and conditions.
Both Surrey Police staff and Sussex Police staff are employed in this unit on their own force terms and conditions.
Successful candidates may be appointed on the terms and conditions of employment of either Surrey Police or Sussex Police, depending on organisational requirements. A discussion will be held with the successful candidate to confirm the details of location, salary, allowance and hours.

Grade - Surrey Police Grade D / Sussex Police Grade 7
Salary Grade Range - Surrey Police £24,075 - £27,303 / Sussex Police £22,677 - £24,552
The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role

We are looking to recruit HOLMES Indexers in Woking, Surrey.

Surrey and Sussex Major Crime Team have a number of Incident Suites that are concerned with Major Crime investigations that include murder, manslaughter and serious crime.

HOLMES is the specialist police database system that is used to support Major Crime investigations from the outset of the enquiry through to court prosecution and any subsequent appeals against conviction.

The HOLMES Indexer is responsible for processing large volumes of documentation generated during the course of a major enquiry. The Indexer is responsible for placing information contained within these documents into different indices and categories, and index linking common factors.

Please Note: Appointment is conditional on passing a HOLMES full time four week Initial Training Course which will be run from another force area.

Key Responsibilities

Your main functions will include registering documents generated during the course of an enquiry, indexing the contents of the documentation and using indices to interrogate the system and retrieve information. Accuracy is paramount as any error or duplication can directly impact on the speed with which the offender is arrested and the offence detected.

You will be required to attend briefings to ensure a full appreciation of the current state and lines of the enquiry. You should expect to be working in a pressurised environment which can be noisy and fast paced with continual interruptions. You will need to show a commitment to flexible working practices and patterns.

The successful candidates will be responsible for administrative tasks, including minute taking at briefings, archiving paperwork and receiving telephone messages into the Major Incident Room.

You will also be providing support to the Serious & Organised Crime Unit and the Economic Crime Unit when required.

Skills & Experience

Successful candidates must possess effective communication and interpersonal skills along with the ability to prioritise work effectively in order to meet deadlines. In addition the successful candidate must be able to demonstrate:

  • Well developed computer and keyboard skills
  • An ability to input and check data with close attention to detail
  • Research experience
  • Working as part of a team

Given the close proximity and high level of access to sensitive information, the post-holder must possess the highest professional and ethical standards.

The candidate will be subject to force vetting procedures and must be prepared to deal with distressing information in the course of their duties.
