Job Description

Responsible to: HR Officer

Hours: Full time (38 hours per week)

Salary: £23,000.00 to £24,500.00 per annum depending on experience

Place of Work

To be located at the Trust HQ. Occasionally may be required to attend meetings or training outside the York area

To work as part of the HR team in supporting in all aspects and duties as required by the HR Manager/ Officer.

Main Duties:

· To provide support to the Wilberforce Trust HR Officer/ Manager

· To support the delivery of the Wilberforce Trust vision, mission, and strategy by assisting the HR Officer/Manager for new projects to deliver strategic objectives.

· To support the team with maintaining HR policies and practices appropriate for the Trust and any new initiative

· To support the team with recruitment of new staff where and when required and applicable, ensuring appropriate legal and safeguarding checks are made

· Recruitment process including preparing and posting job advertisements.

· Vetting applicants/ candidates/ arranging interviews.

· To support the team to liaise with all departments on the on-boarding and exit processes as required

· Assisting with staff inductions and associated paperwork for training.

· To support the team to maintain appropriate personnel files compliant with GDPR, employment law and CQC standards

· To support the team to maintain a data base of staff and relevant contracts

· To provide support when needed for monthly and quarterly HR reports for senior managers

· To support the team to track and assist managers with the performance management processes including appraisal, disciplinary and grievance

· Support the team to maintain the sickness and holiday records for all staff and report HR Manager monthly

· Support the team to provide the Finance department of all new starters, leavers and other changes to contracts and pay

· If required, Issue all offer letters, contracts and terms and conditions

· Research and attend Job Fairs and any other relative community engagements

General:

· Promote diversity and equality

· Support the safety, well -being and protection of people in the delivery of services through compliance with the current HR and safeguarding policies

· Remain up to date with current recruitment legislation within the social care sector

· To actively participate in relevant training an ongoing professional development to meet identified knowledge and skill requirements

· Develop and maintain good working relations with all Wilberforce Tenants, clients, staff and managers

· To attend any disciplinary/investigation/sickness review meetings as and when required to represent HR & take notes

· Support the HR team when required, attend weekly meetings and produce weekly/monthly reports

Person specification:

· Develop and maintain good working relations with all Wilberforce Trust staff

· Promote good employment practices, equal opportunities and welfare in accordance with Trust policies, including disciplinary and grievance procedures

· To have flexibility to work outside of office hours on occasions as required

· To work independently to tight deadlines

· Ability to deliver difficult improvement requirements in a constructive way

· Interview skills and experience (essential)

· Reporting skills

· Excellent Microsoft Excel skills (essential)

· Build open and constructive working relationships with all service users of the Trust to ensure high quality experience – invite feedback to inform future developments

· To represent the Trust as required

· Thorough understanding of ethics, regulations and laws

· Working with management, regulators and board members

· Support colleagues to find solutions when implementing change and improvement plans

· To undertake such other duties as the Chief Executive or Trustees may reasonably require from time to time

Communication:

· Ensure effective timely communications on key issues to line managers.

· Promote mechanisms to seek out, listen and respond to views and ideas of others.

· Manage effective communications with all potential candidates, staff and managers
