Job Description


BACKGROUND

IRC UK

IRC UK were established in London in 1997 to support the organisation’s global activities and particularly to diversify its donor base and be able to better advocate with European policy-makers on behalf of the people we serve. Since its establishment IRC UK has grown rapidly and is now acknowledged for its high-quality project management, technical expertise in governance and rights and economic recovery, and innovative thinking on early recovery and gender-based violence. IRC UK comprises approximately 160 staff. The IRC UK launched its first programme in the UK last year, working in partnership with local councils, to provide integration support to resettled refugees in Southeast England and has since expanded to providing education support to teachers and is now responding to arrivals from Ukraine.

The Purpose of the Role

The Project Assistant is responsible for assisting the Ukraine Response team with the implementation of the IRC’s Ukraine Response programming in the UK by providing administrative, language, stakeholder engagement and monitoring support.

The Project Assistant may also be asked to support the RISE (Refugee Integration Services in England) Project Manager with short term administrative tasks.


Key Working Relationships:

Position reports to Refugee Services Coordinator. Position works closely with the Refugee Employment Specialists and the RISE Project Manager.

KEY RESPONSIBILITIES:

Partner and client Engagement:
  • Support partner engagement through management of enquiries via the Ukraine Response email inbox.
  • Support participant engagement through management of enquiries via the Ukraine Response email inbox.
  • Support participant engagement through arranging and facilitating online information sessions.
  • Support participant engagement in Job Readiness Training by providing Refugee Employment Specialists with language support during enrolment process and during 1:1 client sessions.
Administrative and resource distribution:
  • Lead in the organisation of graduation events including researching and liaising with venues and caterers, booking client travel, gathering necessary client documentation and planning agendas.
  • Support with logistics around face-to-face client activities planned by the Ukraine Response team including booking office space, arranging catering and booking client travel.

- Work closely with IRC Ukraine Response team and UK supply chain team to handle logistics for delivery of IT equipment and obtaining and saving IT equipment client receipts.

Monitoring and evaluation:
  • Support Bilingual Integration Officers in their collection and recording of client data, including collating client feedback and pre and post client assessments.
  • Support the work of the Monitoring and Evaluation Officer including reviewing client data and organising focus group discussions.


PERSON SPECIFICATION

Demonstrated skills and competencies:

  • Positive, forward looking and able to work well in a team orientated environment.

  • Excellent organisational skills.

  • Experience with event or training planning.
  • Solid experience with Microsoft Office Word, PowerPoint and Excel.Experience using word press or similar website development platform.
  • Strong attention to detail (excellent proofreading and editing skills).
  • Ability to handle multiple priorities and work well under pressure with multiple deadlines.
  • Excellent oral, written and interpersonal skills with evidence of ability to efficiently engage with a wide range and level of staff and organisations.

  • Language skills – fluent in written and spoken English, Ukrainian and Russian. Experience providing translation support between English, Ukrainian and Russian desirable.

Essential

  • Minimum two years related professional experience working in an administrative role supporting client facing projects:
  • Excellent written and oral communication skills: the ability to communicate effectively with colleagues, partners and clients in English and Ukrainian and Russian language;
  • The ability to conduct workshops and learning activities in a multi-cultural, multi-lingual setting;
  • Solid diplomatic and networking skills: the ability to effectively manage a variety of internal and external relationships;
  • Ability to handle confidential documents and sensitive information;
  • Proficiency in using Microsoft Office, experience leading meetings or trainings via online platforms such as Microsoft Teams, Zoom, Skype;
  • Solid organizational skills with the ability to juggle multiple tasks, set priorities, effectively manage time, and meet deadlines;
  • Ability to work as part of a team;
  • Ability to travel regularly throughout the service delivery area.
