Marina Developments Ltd is the UK’s leading Marina operator. Situated in Poole Harbour, Cobbs Quay Marina is an extremely busy and high profile visitor destination and we aim to deliver the highest level of service and experience for our members and customers; demanding the very best from our team every day.
To help us deliver exceptional service we are seeking to recruit an Administrator/Bookings Co-ordinator to assist with marina operations at Cobbs Quay Marina.
You will be passionate about providing the best possible levels of customer service and will put the customer’s needs first every time. You will deliver an outstanding customer experience; exceeding expectations on a daily basis. This is a full time position working 8 hours per day, 5 days a week, to include some weekend work.
Prime Tasks and Responsibilities:
- Ensure a quality, professional service is provided in all contact with customers.
- To be responsible for all bookings administration to include management of the yard booking's diary and all relevant invoicing in accordance with the laid down procedures.
- To liaise with the team to ensure accuracy of the bookings diary.
- To be responsible for the administration function of Cobb's Quay Marina: including ensuring all computer records and systems are maintained and all relevant invoices, credit notes and contracts are raised where necessary for berth holders, visitors and commercial tenants in accordance with laid down procedures.
- To assist the team with visitor bookings visitors.
- To keep the Marina Manager/Assistant Manager informed of site statistics at all times; to include details of current berth occupancy, vacant berths and lifting statistics to use as sales aids for the marina team.
- To operate a strict debt control policy in accordance with company procedure and liaise frequently with the Marina Manager/Assistant Manager on outstanding accounts. To produce up to date debt information and carry out debt chasing.
- To ensure payments are taken at the time of booking or invoices raised as appropriate and in accordance with the Companies strict debt policy.
- To ensure electricity invoices are raised monthly.
- To ensure all relevant weekly KPI, month end and year end returns are completed as required.
- To assist with raising purchase orders for relevant invoices via Netsuite for the Marina Manager/Assistant Manager to approve.
- To be responsible for the stationery orders/stock levels.
- To provide reception cover and sort and distribute incoming and outgoing mail when required.
- To ensure all legal, HSE and company policies including financial are being adhered to.
The key requirements of this role are:
- An ability to deliver the highest standards of customer service.
- Self motivated and able to work without of supervision.
- Computer literate, including social media administration.
- Enthusiastic and friendly, with a can do attitude.
- Ability to swim.
