Job Description
- Office Administrator Part-time vacancy based as Grassby Funeral Service in Dorchester. 22.5 hours per week, 8.30am to 5.00pm, to include Wednesday, Thursday and Fridays. Also additional full time cover required to cover holidays and occasional sick leave.
- Grassby Funeral Service is the head office for six funeral branches, located in Weymouth, Blandford Forum, Sturminster Newton, Sidmouth, Seaton and Ottery St Mary.
- Computer Skills computer literate with good knowledge of Microsoft Windows XP, word processing, Microsoft Access and Excel. We also use a Funeral management System which requires data input and word processing skills.
- Duties - These are an example of the many and varied duties:
Reception/front of house
Telephone
Taking initial instructions for funerals
Word processing
Processing funerals on to Funeral Management system/producing associated documentation
Filing & photocopying
Banking
Petty Cash
Weekly and monthly returns
Attending the Chapel of Rest for viewings with relatives or friends
In the absence of a Funeral Operative, meeting Doctors and taking them to the Mortuary area to view the deceased.
Pre-paid funeral plans – initial information
General office duties e.g. post, photocopying, backing up computer records
Keeping the reception area tidy and welcoming
Receiving and managing/forwarding all emails received
Recording and coordinating weekly and monthly BACS payments (Church fees, Minister’s Fees, Doctors fees)
Circulating daily diary
Recording Cremated remains in and out
Recording donations on Extranet, reconciling donations received and forwarding to charities
Ordering stationary
Downloading music for funerals
Cloud filing
Recording names for attendance as Funerals
