Where does this role fit within Ted's Team?


The Head Office Warehouse Coordinator is responsible for coordinating inbound & outbound post to our Head Office & processing product samples deliveries to a high standard. The Coordinator must work efficiently within the Head Office Warehouse team & wider Logistics department, prepare export Air Waybills & Commercial Invoices correctly & ensure our Microsoft Dynamics AX system is always accurate & up to date.


Main Responsibilities


Operations…


  • Create compliant carrier consignments on our Royale, UPS, Royal Mail & DPD web portals to ship packages from our Head Office to international partners including those in China, Vietnam, Taiwan, Indonesia & Philippines.
  • Create accurate Air Waybills & Commercial Invoices to ensure international shipments from Head Office are compliant with international export & customs requirements.
  • Track international shipments from our Head Office on carrier portals & communicate directly with our carrier partners to resolve export & customs challenges.
  • Create accurate item arrival journals for samples in Microsoft Dynamics AX based on supplier shipping notices.
  • Create & post transfer orders in Microsoft Dynamics AX to systemically transfer stock between digital warehouses.
  • Carry out the reprocessing of stock, including relabelling & repacking where necessary.
  • Pack product samples for distribution to other Head Office departments & external warehouses.
  • Maintain a supplier non-compliance log to maintain high level standards with our suppliers.
  • Complete administrative tasks using Microsoft Office including Outlook, Excel & Word.
  • Support the Head Office Warehouse & wider logistics department in all tasks & projects assigned to you.
  • Work effectively unsupervised & complete all tasks efficiently by following company policies & Head Office Warehouse operating procedures.

People…


  • Communicate effectively with our 3PL warehouse to resolve sample queries within service level agreements: including the creation of item arrival journals in Microsoft Dynamics AX & the requesting of new purchase orders from our Buying department.
  • Coach departments at Head Office to ensure they submit all information required to ship their packages internationally.
  • Communicate effectively with our carrier partners & Ted’s carriage team to ensure Head Office carriage requirements are met & supplier failures are escalated.
  • Work effectively within a dynamic team, always demonstrating integrity & respect for others.
  • Have an organised, consistent & positive approach to daily tasks.
  • Be adaptable & flexible in support of the team & the needs of the business.

Product…


  • Determine the correct costs & commodity codes of samples based on guidelines & training provided.
  • Display a strong work ethic in the completion of daily manual tasks such as lifting & carrying heavy deliveries & loading vehicles.
  • Adopt a hands-on approach & handle the Company’s stock in a responsible manner: ‘Would Ted do it that way?’
  • Follow correct manual handling techniques when lifting & carrying large items.

Commercial…


  • Access JDA warehouse management software to resolve sample receipt errors at our 3PL warehouse.
  • Take personal ownership for achieving & exceeding KPIs with a focus on accuracy.
  • Demonstrate speed & efficiency in all tasks to support the team.
  • Take ownership of Head Office Warehouse procedures by continually reviewing processes & providing regular & innovative feedback to the Head Office Warehouse Management team for creative improvements.
  • Actively update process documents.
  • Demonstrate an excellent attention to detail to ensure our computer system is always accurate.

Tools of the trade…


  • Being a fast learner who is computer literate: Knowledge of Microsoft Dynamics AX, BI Reporting, Centric PLM, JDA warehouse management software & MS Office (especially Outlook, Excel & Word) is advantageous.
  • Experience of working in logistics, with an understanding of the warehouse processes, will help.
  • Experience of working for lifestyle brands, with passion for the industry, is beneficial.
  • On the job training will be provided regarding the above processes.
