Job Title: Administration Officer
Reporting to: SOS!SEN’s Chief Executive
Salary: £27,000 to £30,000 per annum, depending on experience
Hours: 5 days (35 hours) a week
Location: SOS!SEN’s office in Worcester Park although occasional working from home could be an option
Start date: Immediate, subject to satisfactory interview and references
Purpose of the position
SOS! Special Educational Needs (SOS!SEN) is looking to fill its vacant Administration Officer position. This is a pivotal role and we are seeking a creative person who is able to use their own initiative in carrying out a wide variety of tasks.
Key responsibilities and duties
1. Management of the communication services SOS!SEN provides
2. Deal with the enquiries from the public
3. Streamlining of requests for services
4. Control the stock of marketing and information material
5. Overseeing the Telephone Helpline and the SOS!SEN Advice Centres to ensure full cover is available
6. Processing of post Telephone Helpline and Advice Centre reporting
7. Maintaining records of
a. Staff and volunteer register
b. Staff holidays and sickness
c. List of professionals
d. Consultation with parents
8. Arranging DBS checks for staff and volunteers
9. Overall responsibility for office equipment
10. Monitoring payments received
11. Management of the SOS!SEN customer database
12. Management of the SOS!SEN website
13. Establishing and maintaining email accounts for SOS!SEN staff and volunteers
14. Networking using social media, including Facebook, Twitter and Instagram
Work experience and skills
The post would suit applicants who may have
· an understanding of SEN (whilst not essential, would be a distinct advantage)
· worked with volunteers
· experience of an administration environment
· extensive IT skills and database management experience
· good organisational capabilities
Person Specification
SOS!SEN is seeking a candidate who will be responsible for the administration of the charity. This involves, but is not limited to,
· Dealing with enquiries from parents
· Management of all the services that SOS!SEN provides
· Overseeing the cover of the SOS!SEN Telephone Helpline and Advice Centres
· Maintaining records of staff and volunteers, including contracts and holidays and carrying out DBS checks
· Maintenance of the charity’s website, customer database and other IT related tasks such as email accounts
· Networking and using social media for communicating with parents, staff and volunteers.

· self-motivated and able to work under their own initiative
· IT literate and proficient in the use of Excel, Word and Office 365 as well as databases, online booking systems and a website
· excellent communication and interpersonal skills.

· an understanding of SEN (not essential but advantageous)
· been part of a charity that is concerned with social issues such as housing, education or care.
