Administrative Assistant
Job Type: Part time - 30 hours per month
Salary: £10 - £14/hour (dependent on experience)
Location: Remote working with flexibility to regularly attend locations in Sevenoaks and Tonbridge. Training will be in-person in the Tonbridge/Sevenoaks area.
About Us: We are a small neurorehabilitation service based in both clinic and community settings. We specialise in adult neurological Physiotherapy and Occupational Therapy in West Kent and bordering areas. We are currently a team of eight working remotely across our catchment area.
Job Role: We are looking for someone to maintain the smooth-running of our administrative and bookkeeping function
- Bookkeeping (good working knowledge of Xero required)
- Manage all aspects of income and expenditure for the company, using Xero accounting package and a practice management system
- Produce financial reports from Xero, including monthly management accounts
- Prepare accounts for end of year reporting to company accountants
- Ensure financial controls and policies are adhered to, reporting any inconsistencies to the Directors
- Maintaining up to date computer records including data input via a practice management system
- Ensure IT and filing systems function effectively
- Maintaining paper files, filing, and archiving
- Ordering supplies as required
- Taking minutes during business meetings and circulating to team
- Handling initial enquiries either via telephone or email
- Maintaining website uploading new information, photos and social media posts
- Managing communication between team members
- Assisting with marketing
- Occasional liaison with clients when required
- Providing general administrative support to directors and other team members
Key Skills
- Excellent verbal and written communication, with proven accuracy and an eye for detail
- High level of computer literacy, with experience using Microsoft Office
- Experience using practice management systems
- Confidentiality
- Ability to work alone and manage own workload
- Adaptable and organised
