Specific hours can be discussed but flexibility will be essential. Every GP practice needs an efficient team of administrators who can ensure that every patientβs experience is a positive one. This is an exciting opportunity to start your career in the healthcare sector as an administrative assistant and the role will include:
Administration: To provide support to the administration team / practice manager including tasks such as:
- Scanning and filing correspondence.
- Shredding confidential correspondence in accordance with practice protocol.
- Using clinical systems to identify patients requiring annual checks and send invitations.
- Recording and analysing data.
- Answering telephone calls and either deal with the query or pass on to the appropriate person.
- Initiating calls to resolve outstanding actions.
- Using a multitude of IT Packages.
- Providing administrative support to other teams as required.
Record Coding and Summarising: Providing an efficient and effective summarising and coding service by:
- Processing medical correspondence
- Categorising medical conditions and adding codes, particularly relating to practice targets and income
- Running reports on medical/ demographic information as requested
- Transferring paper records to electronic records to produce an accurate patient medical history
- Monitoring patient recall systems for chronic diseases and send out invite letters for appointments
- Answering queries from clinical and non-clinical staff

Candidates will have the following qualifications, skills & experience:
- Maths and English GCSE 4 or equivalent.
- Experience in using Microsoft Office Suite.
- Medical administration skills NVQ Level 2 (desirable).
Full training will be provided, but the following would be beneficial:
- Experience of medical software packages.
- Experience in a busy working environment.
- Knowledge of the NHS.
- Customer service experience.
Cobbs Garden Surgery is based in the market town of Olney, Buckinghamshire, and serves a practice population of 8,600 patients. The practice has a CQC rating of βgoodβ and is a member of a well-recognised Primary Care Network, working with two other local practices.
