Admin and Hospitality Assistant

Job description

Full Time / 37 hours per week / Fixed Term for 12 months

Are you passionate about delivering great service?

This is a unique opportunity to join our dynamic workspace and use your excellent customer service skills in an environment where no two days are the same. Our friendly and approachable team let out offices to exciting small businesses to the authorities Gresham Works and Dock buildings. Our friendly team provides outstanding service and creates a supportive environment for our customers which enables them to focus on their businesses.

You'll either work at Dock, Gresham Works or sometimes between both. Dock is a vibrant workspace building for tech businesses based at Pioneer Park. We have 70 offices/commercial spaces across 2 buildings, these are individually leased to over 40 innovative businesses who are then our customers. We also have a busy meeting room business.

Gresham Works is an exciting new development in the centre of Leicester where there are a combination of offices, co-working spaces, and meeting rooms. Our customers who are based here are from a mix of businesses backgrounds.

Working under the guidance of the Operations Manager, you’ll support the general admin and reception of the building as well as oversee the meeting room facilities, ensuring service standards are always maintained.

This is a full time, fixed term post for 12 months working 37 hours per week. The working hours will be between 8am and 6pm Monday to Friday on a rota basis, occasionally you may be required to work out of normal office hours.

What you’ll be doing

Your role between the two buildings will change from day to day. This includes setting up meeting rooms with IT equipment and refreshments, greeting tenants and visitors, stocking tenants’ kitchens and maintaining coffee machines, sorting post, answering enquiries both in person and by email, ordering stock and processing invoices and general financial reports. On occasions you’ll be required to carry out remedial cleaning and you’ll willingly assist the team with other duties as and when needed.

You'll be responsible for areas such as planning and running tenant and external events, updating social media, undertaking financial administration and creating reports for specific project work. This will provide variety to the role and allow you to develop skills in different areas whilst being supported by the rest of the team.

What you’ll need

A proven track record of providing exceptional customer service in either a retail or hospitality industry, you’ll have experience of using administrative and financial systems. Excellent communication skills and the ability to relate to people and are needed for this post to be able to manage and deliver the reception and information services to ensure the needs of the tenants and customers are met.

Your attention to detail will be second to none and with a proactive approach you’ll provide creative solutions to how the service could be improved. With good organisation skills, the ability to work under pressure and a flexible approach, you’ll be able to effectively prioritise tasks.

What we can offer you

As well as the satisfaction of helping to improve thousands of lives across Leicester, you can look forward to a work environment that encourages a healthy work/life balance. You’ll enjoy generous annual leave, membership of the Local Government Pension Scheme and the option of flexible working. We’ll also give you the chance to develop your skills and expertise with a variety of training and development opportunities.
