We are looking for a new School Secretary of our vibrant and friendly Church of England Primary School. The successful applicant will need to provide the school excellent administration for all matters relating to pupils.
Previous experience of school administration would be an advantage but is not essential. Pattern of work to be agreed with the selected candidate.
Main Duties:
Reception duties
- To provide a professional and warm welcome to those visiting and contacting the school
- To carry out all administrative duties in a timely and efficient manner ensuring deadlines are met in order to maintain the efficient running of the school
- To manage email inboxes and school communication systems
- To respond to routine correspondence
- To provide support to school events and offsite trips
- To maintain the school diary and electronic calendars
- To establish and develop constructive relationships and communication with parents/carers, staff and outside agencies
- To manage and administer all processes relating to; school census, FSM, tapestry, parent/carer consultation booking, breakfast and afterschool club bookings, lunchtime payments
- To carry out other duties and responsibilities of a similar administrative nature as commensurate with the level of the post and as required by the Headteacher.
Attendance
- To log daily absence
- To update pupil registers as necessary
- To follow up absence queries
- To generate attendance/absence reports
- To monitor absence and liaise with Headteacher and Local Authority Attendance Officer
Data Officer
- To create and update data in the schools SIMS management information system
- To create reports relating to pupil groups, including attainment and progress
- To support the Headteacher, Senior Leadership Team and Finance Officer with data-related matters
- To manage and administer all processes relating to data
Key Requirements
- A good standard of literacy and numeracy with the ability to produce high quality minutes.
- Excellent IT skills, especially with Word and Excel and access to relevant equipment for working from home (computer, printer, internet).
- Be an efficient administrator, able to use your initiative and able to work to the meeting deadlines.
- Be a confident researcher, able to manage information and advice from a variety of sources.
- Be able to develop good working relationships with the Headteacher and school office staff.
- Understand the importance of the confidentiality required around this work and comply with the relevant data protection legislation.
- Willing to undertake any training as necessary for legal compliance or personal development and attend network meetings as required.
