Job Description

Post Title: Business Support Assistant

Salary: £29,525 - £32,439

Hours: 36

Location: West Lothian Civic Centre, Howden South Road, Livingston, West Lothian EH54 6FF. It is anticipated that the role will involve a blended model of office and home working. This flexible approach will be agreed between employee and line manager.

Duration of contract: 12 months with possibility of extension

Background

The Improvement Service (IS) is a publicly funded company limited by guarantee, with a total annual budget in the region of £8 million. We exist to support councils and their partners to improve the health, quality of life and opportunities of all Scottish people through community leadership, strong local governance and the delivery of high quality, efficient local services.

About the role

An opportunity has arisen within the Improvement Service supporting our Business Support team.

The postholder will work flexibly in a key support role to help the smooth day-to-day running of IS administrative, business and corporate processes and will play an active role in supporting key development and improvement initiatives within the Business Support team.

Business Support is a lean, agile and responsive team. Our key priority is to provide effective support services to Improvement Service management and colleagues. Working to the Business Support Manager, the role requires a flexible and proactive individual who is comfortable with working on their own initiative and multi-tasking in a busy environment.

We are looking for a flexible and proactive team player who possesses exceptional organisational and communication skills. The successful candidate would be entirely comfortable with multi-tasking in a busy environment and have experience using a variety of IT packages such as SharePoint, Excel and Outlook.

Key requirements for this role include but are not limited to:

  • Provide effective minute and note-taking at various meetings.
  • Ability to focus on attention to detail.
  • Provide end-to-end recruitment admin support via MyJobScotland.
  • HR admin (processing new starts and leavers and issuing contracts, contractual change and increment letters).
  • Support payroll admin via iTrent.
  • Process all sickness absence and special leave
  • Provide administrative support to teams across the IS portfolio
  • Gather information from across the organisation to support timeous, regular and accurate reporting on key corporate initiatives
  • Ensure all Business Support processes are in place and reviewed on a regular basis.
  • Book travel and accommodation as required.
  • Promote positive communication with IS colleagues and stakeholders and strive for excellent customer service at all times.
