Bristol Zoological Society, the conservation and education charity that runs and operates Wild Place Project and conservation projects across the world, is recruiting a new Facilities Assistant. This is an exciting opportunity to join the Facilities Management team to support the Facilities Manager in the management of the Society’s varied facilities, including the delivery of a customer focussed, effective and safe site.
Job Purpose:
Responsible for coordinating service requests submitted from the teams across the Society’s sites, provide reception support at the Hollywood Mansion House, proactively manage contracts with external partners, oversee tenders for services and ensure that across all areas we provide a high level of customer service and achieve value for money.
Ensure we are maintaining following appropriate processes and procedures, support our sustainability objectives and provide support in Health and Safety and other areas of legislative compliance.
Main Duties:
Proactively assist in the efficient running of the facilities of the Society, maintaining high standards for users.
Perform the role of Bronze (Emergency coordination) when and if required during working day (training will be provided)
Perform the role of first aider when and if required during the working day (training will be provided.
Support internal customers to ensure they have the facilities they need to perform their roles effectively.
General facilities duties at the Hollywood Mansion House (administrative head office) or Bristol Zoo Gardens and assist with coordinating deliveries to site.
Assist with purchasing of goods and services and checking of supplier invoices for accuracy.
Obtain quotes from contractors for various maintenance works and ad-hoc projects.
Monitor spend in all facilities areas against budget.
Oversee the door entry system, ensuring all employees have current access and updating joiners and leavers
Maintain facilities database to ensure appointments for all monthly and annual maintenance checks, meter readings etc. are in place and work completed on a timely basis.
Liaise with maintenance and landscapes colleagues to ensure work priorities and requests are being addressed.
Assist with the successful implementation of systems and statutory requirements under the Health and Safety at Work Act and any other relevant legislation as well as Society Health and Safety policies, ACOPs and guidance.
To compile and report environmental, utility and other carbon monitoring statistics to the Facilities Manager whilst promoting sustainability initiatives to strive for continual improvement.
Update and maintain relevant documents and manuals on a regular basis.
Actively promote, develop, and secure a positive health and safety culture and good facilities practices throughout the Society.
Perform basic conditions surveys to ensure our assets are always maintained and safe.
