Job description

You will be responsible for managing HSE’s Microsoft 365 product suite, ensuring that products remain available, performant to SLAs/OLAs and relevant to business requirements. You will monitor all products in the suite, investigate incidents, resolve problems, and develop and apply fixes and changes. You will develop new functionality and seek to continuously improve the products to support the organisation in better ways whilst ensuring that the applications and data remain secure. You will engage with users, support their needs, and ensure that a high-quality customer-focused service is delivered. Your duties will include (but are not limited to):

  • Engaging with senior stakeholders to promote opportunities with using the Microsoft 365 product suite, raising the digital literacy of all HSE colleagues, demonstrating how the products can be used to improve the efficiency and effectiveness.
  • Ensuring the security of Microsoft 365 applications, preventing unauthorised access, unauthorised data exchange and data-loss through the implementation and monitoring of upgrades to Microsoft 365 applications, coordinating change activity, engaging with users, and ensuring that upgrades are understood and appropriate.
  • Documenting all Microsoft 365 applications, maintain the accuracy of documentation to reflect changes and fixes, ensuring that code is understandable and structured to ease root cause analysis. You will also maintain a secure configuration management database with an accurate record of Microsoft 365 application assets.
  • Continuously monitoring Microsoft 365 applications, ensuring applications remain available, performant to SLAs/OLAs, and delivering a good user/customer experience and proactively identify and resolve Microsoft 365 issues before they impact the user/customer.
  • Maintaining the highest standards of user and customer focus, ensuring that services are delivered to user/customer satisfaction and endeavour to routinely communicate with users/customers to promote, confidence that incidents and problems are being tackled.

Your day-to-day tasks will include (but are not limited to):

  • Deputising for the Lead Application Operations Engineer
  • Leading and managing the Microsoft 365 team responsible, for the administration, upgrading, deployment, management and use of all 365 products.
  • Incident Management (Corrective Maintenance), diagnosing the root causes of incidents, developing work arounds and fixes, to return Microsoft 365 applications and users to an operational condition.
  • Problem Management (Preventative Maintenance), diagnosing root causes of problems, prioritising maintenance activity and developing fixes.
  • Change Management (Adaptive and Perfective Maintenance), continuously seeking to improve a Microsoft 365 application, promoting unused functionality, and working with users to develop new ways of working.
  • User, database, and application administration to Microsoft 365 applications.
  • User training, guidance, and support for all Microsoft 365 application, promoting the capabilities of the products to improve business outcomes.

There will be a requirement to travel to the office for various activities e.g., collaborative working, supporting, and training colleagues. Person specification

Essential:

  • Experience of, or working towards, ITIL Foundation.
  • Experience of PowerShell.
  • Experience of, or willingness to learn Microsoft Azure.
  • Administrative experience of Microsoft 365 suite, e.g., SharePoint, Teams, Power Platform.
  • Experience of leading Microsoft 365 engineering teams
  • Effective communication skills.

Desirable:

  • Microsoft 365 Certifications
