Job Summary
The primary purpose of this role is to greet patients and visitors in an efficient and courteous manner and provide and efficient and polite telephone enquiry service. The appointee will proactively communicate information between relevant patients, doctors, and professionals.
Primary Responsibilities
The following are the core responsibilities of the Receptionist post. There may be on occasions, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
General
- To deliver a quality reception service, dealing directly with patients, relatives and carers either face to face or telephone. Reception services include general enquires, booking or cancelling of appointments, logging of accurate information (e.g. visit requests)
- Facilitating efficient lines of communications between patients and clinicians at all times ensuring the practice runs efficiently and effectively
- To provide a first point of contact for patients dealing with queries as appropriate
- To deal with patients' requests for appointments and home visits in line with practice policy, booking as appropriate, thus ensuring the efficient running of the practice
- To ensure that the reception office, waiting area and consulting rooms are kept prepared, safe and tidy at all times ensuring a safe and welcoming environment for patients, visitors and all practice team
- To undertake start and end of day procedures in line with practice policies to ensure that the premises are both prepared for the clinical staff to receive patients and are secured after use. Observe a strict code of confidentiality at all times
Other
- To prepare repeat prescriptions within the Practice's prescribing policy and guidelines, enabling patients' medications to be prescribing effectively
- To maintain patients' manual records keeping in good repair and order
- Extensive use of GP clinical systems and linked software to update and store data in line with practice policy to ensure records and up to date and available for clinical staff at all times
- To perform clerical duties for the practice including sending standard letters to patients, organising transport for patients, completing lab forms to provide admin and clerical support for the practice team
- (Branch surgery reception staff only) – to be responsible for all branch surgery mail (opening, logging, distributing and send to Lister House Surgery if necessary etc.) as appropriate
- To use and amend the computerized appointment system
- To retrieve information as required from both computer and manual systems
- To work within the practice's agreed policies and guidelines where appropriate commenting on and contributing to changing such policies
- Any other duties which the reception team manager may feel is appropriate for the level and responsibilities of this post
The person specification for this role is:
Person Specification – Receptionist
Qualifications
Essential
Educated to GCSE level including English Grace C or equivalent
Desirable
NVQ level 2 in customer service or similar customer service qualification
Experience
Essential
1 years' experience in a customer service/reception environment
Desirable
Previous experience of team working
Previous NHS experience
Experience of using SystmOne (or similar)
Skills
Essential
A good knowledge of Microsoft Office products and the ability to use email/internet
Good communication skills, both face to face and on the telephone including the ability to deal appropriately with difficult communication situations (difficult patients)
Good interpersonal/organisational skills
Knowledge of operation of office equipment (photocopies essential, scanners desirable)
Ability to file accurately
Ability to translate information and details accurately both verbally and written
Understanding, acceptance and adherence to a strict code of confidentiality
Confidence to use own judgement, based on resourcefulness and local knowledge in response to patient queries
Personal Qualities
Essential
Proven ability to liaise appropriately with members of staff at all levels
Ability to maintain confidentiality
Able to cope well under pressure
Other Requirements
Desirable
A car owner with a clean license and appropriate insurance to cover for business miles

This role will require you to work across our 4 sites in Derby.
