About the Role:
We are seeking a full time Office and Logistics Support Assistant to deal with all aspects of running the Newbury HQ side of MSS Ltd. Based at Greenham Business Park, this role is critical to supporting our ambition of growing our client relationships and revenue and you will work closely with the management team who work across Newbury and our Pinewood Studios Office near Slough. This will be a strategic role, with the primary purpose of creating and maintaining the smooth and organised running of Newbury HQ, our vehicles and day to day business.
We have an office at BBC Elstree studios which requires monitoring remotely with occasional site visits and you will have the opportunity to work up at our Pinewood Studios office a couple of times a month to connect with the Projects Team.
The successful individual will be committed, enthusiastic and able to use their own initiative. To excel at this role you must be very organised, proactiveness is essential, however the role can be highly reactive and very busy and you will be just as happy rolling your sleeves up and getting involved with whatever comes your way. No two days will be the same, one day you might be dropping 100 fire extinguishers to a film set, the next day you could be prepping vehicles to go out on jobs, another day you could be counting and recording stock. You must be able to work autonomously, think on your feet, communicate at a high level via phone, email, and face to face, have excellent IT skills across the board from Excel right through to PowerPoint. The office is a fast-paced environment with plenty of responsibility for the right candidate; enthusiasm, initiative and a love of spreadsheets will be key to excelling in this role.
The Role - including but not limited to:
Facilities tasks
Procurement across all departments
Administration – data entry, CQC maintenance, and other admin tasks
Updating vehicle and medical cleaning schedules and required supporting documents
Company logistics - there are often last minute changes so flexibility is key
Weekly vehicle checks and basic maintenance eg oil, water, tyre pressure (training can be given)
Organising drug orders including refill and management of the stock of medical bags and vehicles
Organising the stocking of medical bags, vehicles and health and safety equipment
Updating, maintaining, and improving databases
Key Qualities
Problem solver and lateral thinker
Excellent communication skills: verbal and written, working with the wider crews and teams
The ability to work autonomously whilst being part of a small close team
High attention to detail
Sound knowledge of Microsoft Office
Driving license and confident driver (preferably inclusive of C1 or CAT C license due to occasional moving of the larger vehicles)
Keen to learn with a can-do attitude
Desirables
Some medical stock knowledge would be of great advantage (training will be given)
Job Type: Full-time
Salary: £21,000.00-£25,000.00 per year
