General Overview:
Reporting to the Sales and Events Manager, Sales and Events Coordinators are responsible for the smooth operation and organisation of successful weddings and events in order to meet and exceed guest expectations. Working as part of a trained team, Wedding and Events Sales Coordinators are responsible for maximising sales and revenues for the venue and the accommodation in order to achieve budgeted revenue.
Objectives of the role
- Ensure consistent, successful customer journeys – from enquiry, through the booking process and delivery of the event
- Active involvement in delivery of first class weddings
- Support sales manager in all aspects of venue management including accommodation management, supplier liaison and delivery of events
- Ensure smooth communication with all stakeholders – clients, caterers, suppliers, support network, head office support team, accommodation team
Duties & Responsibilities
- To have a full understanding of the hotel as a product in terms of sales & marketing and promote this to its utmost potential at any given opportunity, including promotions, exhibitions and special events
- To ensure that sales of the venue to prospective wedding, private and corporate clients are maximised
- To ensure that that all weddings and events are successful and exceed guest expectations
- To meet and greet clients on an event day and be available for any scenario
- To ensure that all procedures are carried out in accordance with company standards to ensure accurate information and guest satisfaction
- Manage sales enquiries by phone and email and respond to them individually in a timely fashion to point of sale
- Execute show rounds and appointments as required
- Record and report all enquiries, viewings, appointments and follow up meetings
- Set up new client records on file and update as appropriate
- Use of the company booking system, OPERA
- Receive and record all payments made and liaise with Accounts
- Ensure cancelled bookings are cleared from our diary and system promptly to ensure that venue and accommodation use is maximised.
- Work with-in budgets to achieve targets /ask to review if necessary
- To ensure that all equipment is maintained and that any faults are reported immediately to the maintenance department using the standard procedure
- To report and account for any accident(s) or dangerous occurrence within the guidelines of the in house Health & Safety management compliance system whether anyone is injured or not
Training
- Regular 1:1 appraisals with the Sales Manager
- A personal development plan programme to progress
Personnel
- Act as a representative for the company
- To comply with all company policies and rules as outlined in the staff handbook
- To wear the correct uniform at all times as provided and stipulated by the company
- Personal presentation to always be smart and at a high standard
- The normal working week is 40 hours over five days with two days off
- Employees are entitles to 28 days holidays, including bank holidays
