An opportunity has arisen at our busy town centre practice for a receptionist/administration clerk. The post requires great communication and organisational skills with the ability to deliver our services with empathy and compassion whilst working within guidelines. The successful candidate will need to be flexible as we operate a shift system 0800-1600 and 1030-1830, Monday to Friday. The post will be based at the main surgery in Pontypridd. However on occasions cover may be needed in our branch surgeries at Tonteg and Ynysybwl. We are a Vision Practice and full training will be given. The post is full time, 37.5 hours per week, 7.5hrs a day Monday - Friday. Applications will be considered for those wishing to work 30hrs a week, i.e. 4 days.

MAIN DUTIES OF THE JOB
To be the first point of contact for patients over the telephone and in person, making appointments, care navigating and dealing with routine queries. Accurately filing and scanning patient data. Providing administrative support in accordance with practice protocols.
OVERVIEW OF THE ORGANISATION
We are a 7-partner, 7-salaried GP practice, based in the town centre of Pontypridd, with branches at Tonteg and Ynysybwl. We have a full complement of nurses and pharmacists supported by our receptionist/administrators and practice manager.
We are a training practice with a great ethos for education and promoting a healthy work/life balance.
DUTIES AND RESPONSIBILITIES
Provide exceptional service to our patients at the reception desk, updating computer on patients arrival and dealing with a range of routine queries including prescription requests. Problem solve issues within experience (with senior staff always available for support). Concentration is required to deal with patients' requests and there is occasional exposure to difficult/demanding situations.
Prepare consulting rooms replenishing stationery and ensuring rooms are neat and tidy.
First point of contact for patients who telephone, managing appointments, dealing with routine queries, giving results etc where more senior staff are always available.
Retrieve, scan and file medical records as required ensuring accuracy.
Daily allocating of pathology results to appropriate GP and contacting patients as per protocol.
Preparing files for all new patients.
Updating practice systems with data gathered from a variety of sources eg secondary care letters, through scanning, electronic links and Cervical Screening Wales ensuring accuracy.
Processing routine requests for repeat prescriptions with guidance from office manager as per protocol ensuring accuracy.
Monitor registration links in accordance with practice protocol.
Demonstrate duties to new staff.
Participate in the development of protocols through contribution to staff meetings.
Summarising of clinical records under supervision of office manager ensuring accuracy.
Accept responsibility for own development and update PDP as appropriate.
Liaise with and support all members of the primary care team.
Alert the Management Team to issues of quality and risk.
