School Office and HR Coordinator
Full Time
We are seeking a full time School Office and HR Coordinator who will be the first point of contact for day-to-day HR matters (including recruitment) and will manage the school office. A generalist HR background (ideally in Education) would be preferred but is not essential.
This is a varied role within a small, supportive and experienced team, supporting both teaching and non-teaching staff. You will report to the Director of HR and have the support of strong and highly experienced HR and Office teams.
Francis Holland Schools operate three schools across two sites, with the Trust offices located at our Sloane Square site. You will be based on site (Monday - Friday) at our school in Regent's Park.
A general knowledge of employment law and HR best practice would be desirable. The role will suit a diplomatic individual who can confidently support colleagues with general day-to-day HR matters, and manage the office staff and office function. You will be highly organised, have the ability to act with discretion and diplomacy, be able to work within tight deadlines to ensure smooth processes, and have strong attention to detail to ensure that rigid background checks are completed to high standards and in line with legislative requirements.

About the School Office: You will manage the school office (all operations) and will line manage the office staff.
About the Human Resources Department: This is a new position within the expanding HR team which comprises the Director of HR, HR and Compliance Coordinator, HR Advisor and supported by the Office Manager based at Sloane Square. The wider Trust team comprises the Accounts, Marketing, IT and Facilities teams.
Key Responsibilities:
Office Manager Responsibilities
- Supervision and line management of the Office Administrative Staff
- Maintaining (and implementing where required) office procedures and administrative systems to ensure the smooth and efficient operation of the school office services, liaising with IT and Facilities as required.
- Processing invoices and managing office budget
- Covering office staff duties as required
- Ensuring effective communication between the front office team and the Senior Leadership Team
- Overseeing effective maintenance of pupil and staff files, working closely with the Head’s PA, the Pastoral team and the Database Manager
- Overseeing all external communications liaising with the supporting Marketing Department as required
- Liaising with the Assistant Head (Operations) and the Head’s PA regarding the publication of termly calendars
- Overseeing health and safety protocols involving the front office team
HR Responsibilities
- As the first point of contact for staff, responding to internal and external HR-related queries or requests and referring to the Head or HR Director (or other HR colleagues) as appropriate for serious and complex matters.
- Managing end to end recruitment processes.
- Carrying out background checks on new starters in line with DfE legislative requirements
- Creating and managing new staff files in line with Safer Recruitment Policy
- Liaising with relevant personnel in relation to Induction for new starters
- Perform orientations and managing on-boarding paperwork for new joiners.
- Producing and submitting reports on recruitment (and other HR activity) to the Head and the Director of HR.
- Adhering to all HR policies and procedures, ensuring compliance with all regulatory requirements, to enable the effective, fair, and consistent management of employees across the school.
- Monitoring staff absence, liaising with line managers, the Head and HR Director as required.
- Supporting HR functional requirements and providing guidance to managers and other members of staff as appropriate
- Ensuring all personal data is processed and managed in line with GDPR legislative requirements.
- Carrying out any other duties as reasonably requested by the Head or Director of HR
General
- To participate in and contribute to the overall development of the school.
- To actively participate in meetings for both Office and HR Teams
- To support and participate in school events, as required by the Head.
- To undertake both statutory and professional training, self-directed and as required to maintain professional knowledge and to keep up to date with changes in employment law.
- To actively participate in the appraisal process (for self and office team) and review job description in line with the changing needs of the school and the departments in which you work
- To contribute to the overall success of the school by actively supporting colleagues as necessary
- To ensure strict adherence to the Staff Code of Conduct and all policies and procedures

EDUCATIONAL REQUIREMENTS/ESSENTIAL SKILLS/ PERSONAL QUALITIES
Qualifications/ Professional Bodies
- Educated to university level or equivalent experience
- CIPD Level 5
Experience
- Minimum of 2 years’ HR experience
- Minimum of 2 years' office management experience
- Working closely with an onsite HR team
- Offering advice and guidance
- Managing recruitment processes
- Working in an educational establishment
Skills/knowledge
- Excellent communication and presentation skills.
- Ability to manage workloads within tight deadlines.
- Awareness and understanding of safeguarding and welfare of children.
