Job Introduction
To provide a proficient and professional payments service while maintaining a reliable control environment. This role ensures the integrity of user access to BBC Children in Need finance systems, ensuring compliance with BBC controls and policies.
Main Responsibilities
Bank Reconciliations
- To download all electronic Bank statements and upload into Access Dimensions.
- To process all physical receipts of cash, code to correct income source and bank.
- To administer debtor receipts and GFM cheque income in Access Dimensions.
- To journal all necessary cashbook transactions.
- To allocate all transactions and provide a listing of un-posted items for review.
- To formally reconcile all the bank statements for the Charity ensuring control accounts have been reviewed and the month end process has been adhered to.
- To review all non-standard activity investigating and identifying the source of unusual entries, and to allocate all transactions posted in the accounting period.
- To continually review processes for best practice.
- Monitor and ensure that finance data protection rules are followed. Identify areas where processes can be improved and strengthened.
Legacy Donations
- To manage Legacy donations by acknowledging communication, resolving queries from estates and escalating for decision making in accordance with guidelines.
- To maintain schedule of legacies in process, forecasting anticipated income and deliverable date to support year end accruals and income forecasts, follow up outstanding income.
- To journal and allocate Legacy and In Memory income in Access Dimensions and reconcile to legacy schedule.
- Manage communication from solicitors regarding the due legacy payments.
- Account for receipt of income and depositing physical legacy cheques into the bank.
Supplier Payments
- To process priority payments limiting the number of ad hoc requirements where possible.
- To process all payments in Access Dimensions in a timely manner.
- To monitor the daily bank balances and make transfers of funds as necessary.
- To account for un-presented cheques to include refunds and supplier payments.
- To account for all fraudulent DD’s, follow up reimbursements with banks and reconcile.
Other Duties
- To open and securely file finance related post. To maintain the filing system.
- Performing ad hoc duties for other colleagues and provide cover when needed.
- To liaise with CIN staff in other locations, BBC finance departments and External and Internal auditors regarding financial affairs when appropriate.
- To deal with all role related enquiries including those through CiN Finance inbox.
- To work on Appeal Night and other events to ensure smooth running of financial activity.
Are you the right candidate?
- Good knowledge of excel.
- Experience of working in a purchasing or procurement department.
- Good verbal communication skills.
- Able to work comfortably in a team and individually.
- An understanding of system internal controls and segregation of duties.
- An understanding of Data Protection legislation and its impact on access control.
- Positive and helpful attitude.
