The Role
We are seeking a proactive Education (Learning and Teaching) Team Leader to join the Professional Services leadership and management team in the Faculty of Medical Sciences.
This is an exciting and challenging role, providing proactive administrative support to the School to support activities for a broad portfolio of postgraduate taught programmes, ensuring services are carried out effectively and with a commitment to enhanced efficiency and quality.
You will lead the Postgraduate Taught (PGT) professional services team including responsibility for staff induction, training/development and performance management. Working closely with School colleagues and other key business partners across the university you will support excellent service delivery and a ‘one team’ culture.
You will be a hands-on, innovative and highly organised individual, with experience of successful delivery of operational activities (including working under pressure to strict and varied deadlines) and supporting more junior members of your team. You will have a strong commitment to sharing best practice in a culture of continuous improvement, in addition to excellent interpersonal and communication skills.
You will have experience of working in a higher education environment with a knowledge and understanding of quality assurance and enhancement standards and practice in Higher Education institutions.

Currently based in the Graduate School, the role will transfer to the Schools of Medicine and Pharmacy (as part of their shared administration) in the coming months, the post will be based primarily in the School of Pharmacy.

Key Accountabilities
To lead, manage and develop the team of programme administrators and assistants. This will include responsibility for staff induction, training, performance management and performance review (Conversations and Priorities), the allocation of work and prioritisation of duties
To manage staff to achieve defined targets and outcomes, ensuring sufficient cover is always in place
To ensure, in conjunction with the Education Team, that all administrative functions relating to learning and teaching across the full student lifecycle (from registration, through progression to completion) are carried out effectively and to the highest standard. This will include delegation of duties to the team as appropriate
To use a range of digital media and tools to communicate with a diverse range of key stakeholders, both verbally and in written format who may need to access information across different geographic and time zones
Contribute towards programme review and evaluation for the purposes of continuous development
Contribute to the curriculum development process, through the review of module outlines and programme regulations, liaising with academic colleagues as appropriate
Responsible for defining annual teaching and assessment calendar, including system set-up to enable accurate online recording of marks
To coordinate the School assessment procedures, including convening examination boards and ensuring correct set up of associated systems and databases
To liaise with colleagues to ensure all learning, teaching and student experience matters dealt with in the front facing offices (e.g. personal extenuating circumstances, coursework marks) are communicated to the appropriate staff for completion
To act as or supervise those acting as secretary to Module Moderation Boards and Boards of Examiners, including agenda preparation and circulation, minute taking and monitoring progress of actions
Responsible for providing guidance, based on regulations, to students and academic staff with regard to non-standard requests, and for providing student-based management information as required
To oversee the administration of processes relating to adjustments required for students with wellbeing issues or personal extenuating circumstances
To assist the School Manager(s) as appropriate with the administration of appeals and complaints forms
To oversee the timetabling process in the School, ensuring appropriate information is gathered on teaching requirements to enable a smooth and efficient timetabling process
To provide administrative support to various School committees as required. To ensure that minutes are prepared, circulated and approved and that action points are followed up
To oversee the arrangements for student placements; ensuring the provision of support for sourcing placement opportunities and the upkeep of accurate records
To oversee the distribution of research projects to students
To act as the School’s Compliance and Attendance Monitoring Officer, ensuring the School meets the policy requirements and that accurate records are maintained. To assist the School Manager(s) with quality enhancement and accreditation processes, including liaising with external agencies on behalf of the School
Responsible for highlighting identified academic sessions which will be subject to attendance monitoring on relevant systems, and for the recording of student notification of absence submissions
Any other duties within the scope and general nature of the grade which may be required. This includes some flexibility in working hours and may include occasional weekend working (in the region of two Saturdays per year)
The Person
Knowledge, Skills and Experience (Essential)
A’ level (or equivalent) qualification plus work experience in a relevant role or broad work experience acquired through a combination of vocational training and considerable on-the- job experience, demonstrating development through progressively more demanding relevant roles
Experience of working in the Higher Education/Education sector
Experience of independently taking day to day decisions on appropriate courses of action to resolve complex or unforeseen problems
Experience of implementing policy and procedures and involvement with future changes for a service area
Experience of providing advice and guidance to a range of customers and colleagues
Excellent oral and written communication skills and the ability to develop excellent working relationships both internally and externally
Highly developed IT skills, including a detailed working knowledge of Microsoft Office packages, and some experience of using student record systems would be advantageous
Works calmly and efficiently under pressure and to tight deadlines, with excellent organisational skills
Has proven ability of establishing, reviewing and monitoring administrative systems in office environments
Experience of acting as secretary in meetings, producing agendas, minutes and actions
Desirable
Experience of supervising/managing a team and/or a line management qualification
Qualifications
