Job Description
We have an exciting opportunity for two booking coordinators both positions are 22.5 hours a week to join the Admin Hub for the Children and Young People's (CYP) Services. The post holders will be working for the community paediatrics booking team. The CYP Admin Hub provides support for services working with children, young people and their families in the community including community paediatrics, integrated therapies, school nursing, health visiting and the immunisations team. We are looking for an enthusiastic and motivated individual who wants to make a difference to the lives of children and young people in Buckinghamshire.
Based in Amersham the position will provide high quality administrative support mainly to the community paediatrics services.
To answer internal and external telephone calls and either re-direct calls as required or take and record accurate messages with sufficient additional detail as to name, title, organisation, telephone number of caller, date and time of call.
Log referrals onto the Trust appointment system as per the clinical advice from the triaging process.
To maintain databases using the appropriate computer systems, ensuring they are up to date at all times.
Arrange outpatient appointments, using Careflow and Rio, confirming, cancelling and changing appointments where necessary.
To maintain all team files and filing system. To make up new files as required in line with existing filing systems.
Ensure patients are communicated with effectively in relation to their appointments via phone or letter.
Process requests for clinic changes, cancellations and creations as directed by and subject to the authorisation of the Service Management team.
Deal with concerns and complaints appropriately, escalating to your Line Manager where required.
