The Administration Assistant role is responsible for providing an efficient and streamlined administrative service to the patients of the gastroenterology department within East Kent Hospitals University Foundation Trust. Our administration assistant will support the medical secretarial and clinical teams to deliver the highest level of care for our patients. You will work alongside a team of secretaries based across 3 sites.
Recording of accurate and timely data is a vital part of the role and will support the delivery of National and Trust targets. Answering calls in a timely and professional manner whilst remaining professional and supportive.

- Answer and respond to internal and external telephone enquiries and messages, interpret issues and support with solutions in a polite and courteous manner.
- Contact patients to remind of appointments and make necessary changes where needed.
- Underwork associated with the Trust reminder system.
- Assist in monitoring clinic slots for maximum utilisation.
- Have knowledge of current wait times and national targets as associated.
- Assist in ensuring the accurate and timely collection and recording of data linked to appointments, RTT periods, cancellations and patient care episodes.
- Ad hoc tasks relevant to the post as directed by the Gastroenterology Operational management team.
- The post holder will ensure compliance with the Trust’s risk management policies and procedures. These describe the Trust’s commitment to risk management, the recognition that our aim is to protect patients, staff and visitors from harm and stress that all staff have a responsibility to minimise risk.
