Why is this Office Manager position a great opportunity?
As part of the People Services Team, you will be responsible for keeping the office running smoothly while enabling fellow employees to succeed in their roles. Your organisational and coordination skills in office administration and procedures will ensure Infinity’s effectiveness, efficiency, and safety. Your new role is the glue that enhances our intra-office communication protocols, streamlines administrative procedures and office maintenance supervision.

You are an energetic professional who doesn’t mind wearing multiple hats, putting your experience of handling a wide range of administrative duties and executive support relates tasks to good use while being able to work independently.
- You are well organised, flexible and enjoy the administrative challenges of supporting a workforce of diverse and busy team members.

Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands

Organise and schedule travel arrangements for staff.
- Partner with People Services Administrator to maintain office policies as necessary

Organise office operations and procedures.

Coordinate with IT department on all office equipment.

Provide general support to visitors.

Responsible for managing office communal areas and the general upkeep of these areas
- Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office

Perform review and analysis of office projects and keep the management properly informed

Participate actively in the planning and execution of company events
- Coordinate the logistics and organisation of training events – onsite and offsite
- Implement procedural and policy changes to improve operational efficiency.
- Monitor and maintain all office supplies (cleaning supplies, coffee, bar fridge and snacks)
- Organise the periodic scheduling and execution of environmental, health and safety office checks

Manage Fleet administration by ensuring van drivers complete their monthly Vehicle Inspection Reports and organising any services, MOT’s or repairs that need doing for the vans
- Manage office opening and closing rota.

Maintain a happy, safe and secure working environment.

Assist People Services Administrator with
- Supporting the organisation and onboarding of new staff members

Processing new starters and leavers with Driver Checks, Infinity Academy, desk booking system, Breathe HR, online manual handling, equipment, keys, and fob, systems access

Maintaining databases and spreadsheets (PMI, Cycle to Work, New starter Log, Leavers Log, etc.

Conducting People Audits (e.g., DBS checks)
- Collecting data and information e.g., employees list, benefits uptake, benchmarking data etc.

Gathering data for monitoring, reporting and continuous improvement

Tracking of Home office equipment

Proven office management, administrative, or assistant experience

Knowledge of office management responsibilities, systems, and procedures

Excellent time management skills and ability to multitask and prioritise work

Attention to detail and problem solving skills.

Excellent written and verbal communication skills.

Strong organisational and planning skills

Proficient in Microsoft Office

Knowledge of cost efficiency and administrative management practices and procedures
