Responsibilities include overseeing and understanding everything that is happening in your Building. Specifically, you are responsible for:

Being professional and engaging when talking to clients and staff;

Having professional attire at all times

Ensure reception desk and area is always clean, tidy and presentable

Arriving promptly to begin shift at required time
Clients
-
Greeting clients and having a clear understanding of who each client is, the production they are involved in, and which suite in the building they are situated in;
-
Liaising and overseeing the runners on a regular basis throughout the day to ensure they also know which clients are in the suites and the ones to prioritise and the VIP clients;
-
If a booking is ‘attended’ with no client name, liaise with Production to confirm names of attending clients.
Building
-
Ensure that ‘Facilities’ are notified of any maintenance issues immediately.

Completing the Morning Walkaround when on the early shift
-
Ensuring the Building is clean and tidy at all times with regular interaction with the Kitchens to confirm this is happening. If it is not, it is your responsibility to make sure it is clean and tidy.

Ensuring the reception area (including the desk and behind the desk) is clean and tidy with any unnecessary boxes/papers/files etc removed regularly.

Doing an hourly walk through of your Building to ensure bathrooms, breakout areas, are fully stocked and clean.

Being accountable for the cleanliness of the suites/meeting rooms when there is a new client coming in.

On a daily basis, knowing which clients are in and which suites, as well as the productions in your Building.

Logging out keys & passes (gaining permission from relevant personnel if needed), and ensuring they are returned
Admin
-
Answering and transferring calls professionally.

Regular checking of (work) emails and promptness in responding.

Having an excellent understanding of ScheduALL.
-
Sending out prepping emails when on the late shift
Packages/Mail
-
Having a clear understanding of what packages are coming from the library and those that need to go out;
-
Confirming with Library and Production what package has come in and ensuring that Library picks them up on a regular basis. No packages are to be left on reception;

Being accountable for any mail that comes into the building. Only sign if you know the person it is addressed to;

Ensuring any internal mail that is sent out that an email is sent to the intended recipient confirming it is on its way
