The Fleet Administrator is a key member of UK and Ireland Fleet Management team. They will be part of a centralised administration team supporting various stations within each region within the UK and Ireland. They will be the fleet focal point for Regional Fleet Managers for all matters relating to fleet administration. They will support the workshop teams and work alongside the Senior Technical Administrator for UK and Ireland.
Responsibilities:
JOB RESPONSIBILITIES
Use of the Swissport Fleet Management system (Maximo) to create and complete work orders, purchase orders and update asset information.-
Update and maintain asset and workshop equipment service, MOT, CAP/AVP and safety check data.

Assist with inventory and budgetary control which includes ordering of parts, oils and lubricants and consumables for the GSE workshop as well as invoicing approvals.

Extract and produce statistical data (KPI's) from maintenance records for performance monitoring, trend analysis or projects as and when required.

Collaborating with Third party customers to retrieve purchase orders.

Liaising with external suppliers and vendors for purchase order and invoicing queries.

Sending POs and proformas to finance to be made into invoices.

Comply with all airport authority, CAA, airline and security requirements.

Complete all maintenance/repair documentation consistent with airline, airport, CAA and Swissport requirements.

Demonstrate a personal commitment to rigorously enforcing appropriate standards of Health and Safety, in order to ensure performance improves year on year.

Liaise and communicate with Senior, Ramp and Operational Management, customers and staff in a professional manner.

Attend and complete all training as required by Swissport. airport authorities, CAA, airlines and security.

Adhere to all GDPR regulations.

Qualifications:
Candidate requirements

Knowledge of fleet maintenance programs, e.g. Maximo/IMS-Fleet Maintenance Pro.

Good oral and verbal communication skills.

Strong Microsoft Office (Excel, Word, PowerPoint, and Outlook) skills and experience.

In possession of at least three GCSE’s / O Level or Leaving Cert (and equivalent).

Excellent organisational abilities, attention to detail, able to prioritise workloads and work effectively to deadlines in a fast-paced complex environment.

Ability to speak and understand the English language.

Ability to travel to the airport at times where public transport is not available.

Ability to follow Swissport processes and procedures.

Able to work as a team in a fast-paced environment.
-
Previous experience working in an aviation environment desired.

Willingness to travel when necessary for training or to assist other Swissport stations.
