Job Description
This post will assist, and provide administrative support for, the newly formed Marketing and Admissions Department which consists of a team of five staff. The role reports to the Director of Marketing and Admissions and will support both the marketing and admissions functions, assisting the Marketing and Communications Manager and the two Admissions Officers. The overall aim is to contribute to the delivery of an outstanding, positive and seamless experience for all families from the initial enquiry stage through to a pupil’s first day at Albyn School and beyond.
The successful candidate will be an important member of the team and must be an approachable self-starter, be able to multi-task, be a team player, have a positive and proactive approach to work and the initiative to complete tasks in a productive and timely manner. With experience of data entry, design and social media, plus likely exposure in a customer-facing and/or administration role, this is an excellent opportunity to gain experience and understanding in a busy Marketing and Admissions team.
Job Description
The post-holder will be expected to support the School’s admissions functions (Nursery to S6), reporting to the Director of Marketing and Admissions.
Admissions
· Supporting the Admissions Officers to ensure that all enquiries from prospective parents are dealt with in a professional, timely and consistent way that reflects the Albyn ethos.
· Ensuring the admissions process is consistently smooth from initial contact through to when a pupil joins the school. This will include ensuring that offer packs, and joining packs, are tailored to families and sent promptly and that all paperwork is completed before the pupil joins.
· Meeting and greeting families and escorting prospective visitors around the school campus.
· Organising visits, interviews and entry tests for prospective pupils.
· Collating and acknowledging acceptances for all year groups and updating all information required for new starters.
· Providing administrative support for all Admissions activities including preparation for entrance assessments, printing and organising all paperwork for the admissions cycle including filing supporting documents, arranging interviews with families, liaising with feeder schools and requesting school reports.
· Providing data entry support for all admissions activities including updating admissions database and spreadsheet as required, inputting pupil registration forms, acceptance forms and new pupil documentation as well as uploading passport, CAS and visa details for international pupils to the database.
· Supporting the Admissions team with the bursary process including the administration of bursary awards and keeping clear and accurate records.
· Ensuring any leavers are properly recorded and informing relevant parties of all leavers.
Events
· Attending any Open Events, including induction and transition events, and any assessment events. This is likely to involve assisting with evening and weekend events outside school hours.
· Assisting with arrangements for marketing and admissions events e.g. School Open Days, liaising regularly with other staff to ensure the smooth running of the events.
· Providing data entry support for all events including recording event attendees and associated information.
· Undertaking photography of school events and activities.
Design, website development and social media
· Assisting the Marketing and Communications Manager with the management of the School’s website and social media channels, including uploading and organising web and social media posts and assisting with email and social media marketing campaigns.
· Undertaking visual design as needed for brochures, billboards and magazines.
News Gathering and Photography
· Assisting the Marketing and Communications Manager with gathering material from staff, pupils and others for use in brochures, magazines and on the School’s website and social media channels.
· Assisting with articles for school publications.
Person Specification
The successful candidate should be able to demonstrate from their application, at interview or from their references, the following:
· Educated to at least Higher/A-Level, this role is an entry-level position and an opportunity to experience a busy and varied office environment.
· Experience in a customer-facing environment with an understanding of a customer service approach and skills.
· A high level of personal motivation and a commitment to the values, ethos and aims of Albyn School.
· Awareness and understanding of independent education sector, is desirable but not an essential.
· Excellent communication, organisational, administrative and ICT skills and with a keen eye for detail. Experience with[GU1]Adobe Suite, data entry and website and social media content management systems is desirable.
· Ability to work under pressure in a fast-paced environment.
· Resourceful, resilient, reliable and trustworthy with a positive, proactive and ‘can do’ attitude.
· Personable, polite and presentable and with an excellent telephone manner.
· High levels of personal and professional integrity.
· Enthusiasm, willingness, and a flexible approach to working hours and duties.
· Able to liaise with parents, staff, and pupils in a professional and courteous manner at all times.
Terms & Conditions, and Remuneration
· This is a permanent post available immediately.
· The salary range for the post is £21,914 to £23,065 per annum.
· The pension scheme the School will use to comply with its auto-enrolment obligations is the Royal London. The School may amend or replace the Scheme from time to time.

The School
Albyn School is an independent, coeducational day school. With around 770 pupils and 175 staff, it comprises three sections: a Nursery for around 120 children aged 2-5. a Lower School for around 290 pupils aged 5-12 and an Upper School of around 360 pupils aged 12-18. Since 2018 Albyn has also incorporated the Total French School which currently has four members of staff and just over 40 pupils who follow a hybrid curriculum attending some Albyn School lessons as well as dedicated classes which follow the French national curriculum. The latter enables French School pupils, if they move on (as many do every two to three years), to continue their education either back in France or in other French medium schools around the world.

History, Buildings and Facilities
Founded as a girls’ school in 1867, Albyn School has changed its name, location and structure a number of times over its 155-year history. On its current site since the mid-1920s, the then Albyn School for Girls first occupied two Victorian villas fronting onto Queen’s Road. Since that time, the School has grown, added to its buildings and grounds, and now occupies four listed Victorian villas with a host of more recent additions. In 2005, Albyn began its move to full coeducation, a journey that concluded when the first boys left S6 in 2014. Albyn School is now both a company limited by guarantee and a charity governed by its trustees who also act as the School’s Board of Governors.
The School has continually built and redeveloped its teaching facilities since its inception, creating specialist departmental areas, ICT suites, business education facilities, music practice rooms, art and design studios and numerous classrooms. In August 2007, Albyn School opened a dedicated Lower School building. Built over three floors it comprises 16 bright classrooms many of them with spectacular views across Aberdeen and the North Sea. In 2011, the Nursery was further extended and three additional science laboratories were built to meet the needs of increasing numbers seeking careers in science, engineering and medicine.
In August 2012, HRH The Duke of Gloucester opened 10 new, modern and spacious classrooms for the teaching of Mathematics, English and Computing, while in November 2014 a new Lower School Library and a studio theatre were opened. In 2017 the Wood Foundation Engineering Centre was completed. The School now has an excellent environment for the teaching of its pupils that marries together contemporary and traditional architecture.
The School also has excellent sports facilities located at Milltimber, 6 miles southwest of the city. There we have a pavilion, three pitches used principally for football, four tennis courts and a running track. The School also draws upon facilities at the Aberdeen Sports Village and RGU (Robert Gordon University) to train our teams. The PE programme is also taught on our Queen’s Road site within the School gymnasium and Former Pupil Centenary Hall and on a recently created floodlit netball and tennis court.
