Reliance acsn has the ambition to be the leading independent provider of cyber security services in the UK. To support our rapid growth, we are looking for an organised, proactive and engaging individual to take on business administration activities as part of a business operations team. We’re specifically looking for an individual to be based physically in the office five days per week, supporting the day-to-day operations of the office, providing consistency and continuity for visiting clients and employees.
Our brand-new office, based off Blackfriars Road near Waterloo, was fit out in January 2023 and is a 5 minute walk from Waterloo station. In line with our brand values, we have created a high-end, modern, and vibrant facility where visitors are continually coming and going. In this fast paced and entrepreneurial environment, you will be flexible with day-to-day tasking and eager to learn new skills. The activities are varied and the priorities constantly changing. As primary contact for clients, vendors, and visitors, we are looking for someone with excellent customer service and business skills, who is naturally pro-active and confident. You will be expected to proactively manage your own time and workload, taking responsibility to problem solve and complete allocated tasks based on priorities agreed with your line manager.
As a modern technology company, we operate a paperless office which means that we have minimal paper-based processes and rely on digitised documents and systems. You should be completely comfortable with modern business applications.
What you'll be doing:
Office Administration
- Supporting office visitors including employees, clients and suppliers ensuring compliance with visitor sign-in procedures.
- Act as primary point of contact for health and safety issues. Coordinate health and safety actions such as maintenance checks and fire safety.
- Manage third party suppliers (cleaners, plants, etc) ensuring services are delivered to a high standard and that payments are made in-line with budget.
- Ensure office is maintained to peak condition, addressing defects and any wear and tear issues which arise.
- Maintain appropriate levels of stationery and refreshments to budget.
Business Administration
- Monitor the shared mailbox, responding to general queries and tasks.
- Ensure key records (contracts, invoices etc) are filed appropriately on SharePoint.
- Support HR with employee onboarding activities including organising company inductions for new joiners.
- Support coordination of company events (such as all-staff offsite events) including venue search, managing invitations, liaising with venue, and coordinating content.
- Perform data entry and basic data management tasks as requested.
- Provide personal assistant and administrative support to the Leadership Team.

Essential skills
You will have experience of working in a corporate environment and have excellent Microsoft Office skills including Outlook (managing shared inboxes and diary management), Word (using templates and formatting), Powerpoint (using slide master) and Teams (document collaboration and communication). You will be excited by learning and exploring IT systems.
Desirable skills
You could have previous experience in an Executive Administration role or Customer service experience. You could have experience of managing digital document management systems and have experience of basic data management and data quality knowledge.
