Administration Assistant – Operations
Location: Edinburgh Hub, with flexibility for hybrid working
Salary: £ 25,000 to £28,000 DOE
FTC for 9 months
About the company
As one of the four Agri-Tech Innovation Centres established as part of the UK Agri-Tech Strategy, Agri-EPI Centre is responding by driving the growth of agricultural technology. Supported by Innovate UK, we are committed to the delivery of research, development, demonstration and training in precision agriculture and engineering for the livestock, arable, horticulture and aquaculture sectors.
We are a member-based organisation and currently work with more than 200 members to deliver Research and Development projects in agriculture.
Agri-EPI Centre has four hubs in the UK, each of which is developing its own distinct Agri-Tech focus, based in Edinburgh, Newport in Shropshire, Shepton Mallet in Somerset, and Cranfield in Bedfordshire.

The role and who we would like to join the team
This is a great opportunity to join our Operations team, working with the Head of Operation you will provide admin support in a variety of areas. This role will involve liaising with external suppliers to ensure the building is maintained, co-ordinating H&S requirements, liaising with IT suppliers, managing our sharepoint site, finance admin and providing cover for reception. The ideal candidate will have previous admin experience, excellent communication skills and a good knowledge of office 365 and preferably a knowledge of sharepoint. A knowledge of facilities/building management and Quality, Health, Safety and Environment issues is desirable.
Main duties and responsibilities
Liaising with external suppliers and facility management companies to ensure the building is maintained and secure including the relationship with University of Edinburgh.
Coordinate Health, Safety & Security requirements within the office, PAT testing and fire risk assessments are in place, and training of internal First Aiders & Fire Wardens is kept up to date.
Maintain the facilities calendar and ensure that all information is complete and up to date for each booking and event.
Support Head of Operations on QHSE matters as required.
Liaise with finance to ensure all billing, for operational matters, is invoiced in a timely manner.
Manage and update, when necessary, the Operations SharePoint site and assist other departments with SharePoint admin as necessary.
Raise PO’s and obtain invoices to pass on to finance.
Work to ensure all necessary operations databases and records are kept up to date including, asset register compliance records etc.
IT coordination – including liaison with our external IT providers to ensure IT security, equipment and systems are maintained.
Assist in the review and ongoing management of the asset register, in collaboration with the Technical Team.
Manage travel risk assessments.
PPE management.
Cover reception area on a semi-regular basis

Grade and Salary The appointment will be within the scale: £25,000 to £28,000. Any cost of living increases are normally awarded annually.
Contract type FTC for 9 months, subject to continued Grant Funding.
Location Northern Hub, Easter Bush, Roslin, EH25 9RG.
Hours of work Normal working week of five days (Monday to Friday) comprising of 37 hours (excluding lunch breaks). Staff may be expected to attend occasional evening and weekend meetings/events. Reasonable notice will be given and the post holder may take compensatory time off in lieu (known as TOIL).
Probation All appointments are subject to a probationary period of 3 months.
