An exciting opportunity has arisen for an experienced Information Governance professional to join a specialist team, promoting compliance with nationally agreed standards for the quality and security of Trust information and records.
The purpose of the Information Governance (IG) team is to ensure compliance, across the Trust, with nationally defined standards for the quality and security of information and records. The standards derive from legislation, notably theData Protection Act/GDPR and the Freedom of Information Act 2000, and standards contained in the NHS Data Security and Protection Toolkit.
This role will sit within the Information Governance services
KEY DUTIES
- To support the Information Governance Manager with delivery of Information Governance support services.
- Monitor compliance and review evidence provided for the annual Information Governance (IG) Data Security and Protection Toolkit (DSPT), and work programme. This will include liaising with subject experts across the Trust and maintaining the Action Plan and progress tracker.
- IG training provision is an essential requirement for the Trust and the post holder will be expected to provide administration and (on occasion) delivery of the same.
- Act as FOI Assistant for the service, dealing with information requests in according with the Act.
- Promote the value and importance of effective IG throughout the organisation.

MAIN DUTIES:
The role will assist and support the IG Manager and Head of IG in all general matters relating to IG, provision of advice, guidance and training in Data Protection and confidentiality.
Supporting the development of data sharing agreements, data protection impact assessments and other IG tools.
Working alongside the IG Officer, maintaining electronic and paper filing systems, for example, requests logs, Caldicott database and team mailboxes.;.
Acting as FOI assistant for the Trust, dealing with requests, co-ordinating responses to information requested in accordance with the Act and local process. This includes requests which may be complex or voluminous in nature and involves managing local systems to ensure an appropriate and timely response; escalating when breaches may occur.
Ensuring the Trust meets any amendments made to legislation, or guidance, by maintaining awareness of changes and working with the line manager to ensure process reflects legal requirement; reviewing and updating systems and process, making recommendations on ways they may be improved.
Collating, and checking the validity of information received back in response to requests for example, checks for accuracy.;
The role may include dealing with distressing, highly confidential, contentious or complex information requiring analytical skills; for example, when interpreting information and advice requests.
Production of performance monitoring and assurance reports for the IG Group; arranging and facilitating meetings.
Supporting the management of IG incidents by monitoring alerts.
Development and maintenance of the Trust's and associated partner’s portfolio of evidence for its annual Data Security and Protection Toolkit (DSPT) Assessment.
The post holder will be a highly motivated and innovative individual with Information Governance experience. There will be a requirement to plan, organise and deliver a broad range of activities and programmes.
A high standard of verbal and written communication is required; this to produce quality reports and data useful for the business, aid decision making and to assist in modernising Trust services. The post holder will need to develop and maintain good communications and working relationships with relevant stakeholders within and outside the organisation. This includes working closely with the Bradford Teaching Hospitals NHS Trust IG team and aligning processes with them where possible and appropriate as the two teams are managed by the same Head of IG. The post holder will be expected to advise and influence staff of all levels, internally and externally.
Communication and Relationship Skills
- Work with and support theGovernance Manager, Head of Service, Caldicott Guardian and Trust SIRO, providing complex advice and guidance in relation to IG incidents, to ensure that patient identifiable information is properly managed in line with relevant legislation and local policy.

- Provide support to the multi-disciplinary IG committee and DSPT Assertion Owners to ensure that the Information Governance programme is delivered.
- Work with the Trust Information Governance Officers, supporting timely and appropriate data provision under the Data Protection Act and Freedom of Information Act (FOIA).
- Work effectively with others (members of the public, legal representatives, staff) communicating information that may be complex and contentious for dealing with their queries in respect of Information Governance issues.
- Attend and participate in internal, external, and regional IG related meetings and seminars as required. Promote the extensive and complex agenda using persuasion and motivational skills to change behaviour and implement appropriate procedures.
- Work with Trust customers to build and maintain positive working relationships.
- Work with wider Trust to communicate complex IG information to multi-disciplinary professional and managerial group members.
Analytical & Judgemental Skills
- Analyse, interpret and localise Department of Health and other legislative requirements to identify, evaluate and make judgement on the required goals and standards for the Trust to meet its IG commitments.
- Assist with the audit, monitoring and review of IG compliance within the Trust (in relation to DPA, information security, Caldicott principles, policies, procedures, legislation, and guidelines) ensuring implementation of recommended actions.
- Ensure that risks identified and analysed from audit, inspection and legislative requirements are captured so that they can becommunicated to the IG committee, and other senior staff.
- Contribute to and participate where appropriate in the investigation of suspected or actual information breaches / incidents. Communicate guidance on complex, sensitive or contentious matters to address remedial actions, where required.
Planning & Organisational Skills
- Plan, implement and monitor complex, demanding and conflicting tasks of the Information Governance work programme, including co-coordinating and delegating work to Senior Information Risk Owner, Caldicott Guardian, Head of Health Records, Head of Information, Head of IT, IG Manager and other senior staff.
- Support, facilitate and monitor progress to ensure that the Improvement Plan for each year is completed, and that appropriate evidence is available from senior IG staff, and the DSPT assessment is submitted within the required deadline.
- Assist in planning, organisation and facilitate Information Governance training awareness programmes to staff including one to one and group ad-hoc sessions, presentation, induction, Trust wide mandatory training and e-learning.
- Produce training materials, promote, and maintain staff awareness of IG.
- Plan and administrate IG meetings and venues such as the Information Governance committee and SIRO briefing. Produce documentary evidence such as reports, action plans and improvement strategies.
- Provide formal meeting minutes or action logs when required.
Policy / Service
- Responsible for contributing to policy development and implementation, including review, and maintaining the Trust’s Information Governance Policy and other related policies.
- Support the development of new policies, processes and guidance as required.
- Use software to create reports about progress against agreed improvement / action plans for Trust Board and other sub-committees.
- To research and keep abreast of legislative changes, and NHS guidance, which may facilitate and promote the IG and records management processes.
